Front Office Receptionist/scheduler

**Position Title**: Pediatric Dental Office Front Office Receptionist
**Job Summary**:
The front office receptionist plays a vital role in ensuring the smooth operation of the pediatric dental office by managing administrative tasks, providing excellent customer service, and facilitating efficient patient flow.
**Responsibilities**:
- **Greet Patients**: Welcome patients and their families warmly as they arrive at the office. Create a friendly and inviting atmosphere to alleviate any anxieties, especially among children.
- **Appointment Scheduling**: Manage the appointment schedule efficiently. Schedule new appointments, reschedule cancellations, and follow up on missed appointments as necessary. Utilize dental office management software for scheduling and record-keeping.
- **Patient Registration**: Collect and update patient information accurately. Ensure all necessary forms are completed, including medical history and insurance details.
- **Insurance Verification and Billing**: Verify patient insurance coverage and process insurance claims. Provide explanations of benefits to patients and assist with billing inquiries.
- **Billing and Payment Processing**: Process payments for services rendered, collect copayments, and provide receipts. Coordinate with billing department as needed for more complex billing issues.
- **Maintain Patient Records**: Ensure patient records are updated and organized according to office protocols. Maintain confidentiality of patient information in compliance with HIPAA regulations.
- **Office Organization and Maintenance**: Keep the front desk area tidy and organized. Monitor and restock office supplies as needed. Coordinate with other staff members to ensure the cleanliness and functionality of the office space.
- **Assist with Patient Care**: Assist dental staff with tasks such as escorting patients to treatment rooms, seating patients, and providing support during procedures if necessary.
- **Communicate with Parents and Guardians**: Communicate effectively with parents or guardians regarding treatment plans, appointments, and follow-up care instructions.
- **Handle Emergencies**: Remain calm and composed in emergency situations. Follow established protocols for handling medical emergencies and contacting appropriate personnel.
**Qualifications**:
- High school diploma or equivalent.
- Previous experience in a dental or medical office setting preferred.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Proficiency in computer skills, including dental office management software.
- Knowledge of dental terminology and procedures preferred.
- Ability to multitask and work efficiently in a fast-paced environment.
- Compassion and patience when interacting with children and their families.
