We are looking for temporary assistance with possible long term employment to help us catch up with our billing assist in the front office.

The front office is responsible for maintaining the appearance and order of the office and managing the practice’s
schedule.
Summary of Essential Job Functions:

- Greet and welcome patients.
- Maintain a neat and orderly front office including reception area.
- Check the daily schedule and post in all treatment rooms.
- Maintain front office supplies.
- Maintain and balance petty cash supply.
- Sort, organize and distribute mail.
- Prepare and mail thank-you notes to patients and referring practitioners.
- Ensure all compliance postings are current and easily available for patients.
- Ensure patients have updated all necessary paperwork prior to treatment.
- Manage recall system.
- Manage on-call patient list to fill no-shows and failed appointments.
- Collect payments from patients at the time of treatment.
- Schedule patient appointments.
- Ensure that patient records are accurate and complete and that patient confidentiality is strictly maintained.
- Monitor patient referrals to other practitioners.
- Submit information for preauthorization of benefits for proposed treatment.
- Ensure that correct coding is used to designate the diagnoses and procedures performed.
- Follow up with insurance claims and delinquent accounts.
- Maintain and monitor contracts with managed care organizations.
- Provide patient education materials.
- Maintain an appropriate office environment.
- Work with doctor/office manager to design the practice schedule and determine appointments that need to be
“preblocked,” such as new patient exams, large restorative appointments, emergency appointments and certain
hygiene appointments.
- Manage and maintain the practice schedule on a daily basis to ensure “preblocks” are reserved and filled with patient
appointments.
- Work with doctor/office manager to develop policies for patients surrounding the schedule (i.e., cancellations,
confirmations, patients who arrive late, emergency appointments).
- Manage and maintain the policies for patients regarding the integrity of the practice’s schedule.
- Schedule patient appointments per the practice’s “preblock” guidelines and schedule policies.
- Review the schedule each day to ensure all staff members are complying with the “preblocks” and schedule policies.
- Distribute and/or review the schedule each day with appropriate team members. This is most appropriately conducted
in the practice’s morning huddle each day.
- Inform clinical staff and the doctor(s) of changes to the schedule each day and throughout the workday.
- Oversee and train all staff who schedule patient appointments in the practice’s software program.
- Manage the practice’s confirmation system to ensure patients are confirmed for appointments.
- Manage the practice’s new patient appointment system to ensure that a routing slip is completed, all necessary
information is collected prior to the new patient appointment and charts are prepared.
- Manage the practice’s emergency appointment system to ensure a routing slip is completed and all necessary
information is disseminated to and collected from the patient prior to the appointment.
- Coordinate and communicate scheduling of new patient appointments with the treatment coordinator.
- Communicate with the financial coordinator to determine patients on the daily schedule with outstanding balances or
who are in need of a financial consultation.
- Follow up with all canceled or failed patient appointments to reschedule.
- Manage and oversee the practice’s recall system to ensure patients are scheduled for hygiene appointments.
- Monitor and track new patient phone calls and complete the “New Patient Log” to document referral sources and
pertinent information related to new patients.
- Coordinate the scheduling of appointments for referrals generated from referring practices or other medical
professionals.
