**SUMMARY OF POSITION**:
The Facilities Project Analyst plays a pivotal role in overseeing and managing significant projects and processes within our organization. The incumbent will work closely with various departments to establish comprehensive project schedules and plans, ensuring that project goals and expectations are effectively communicated and understood by all stakeholders. In this role, the proactive assessment of project tasks, along with adeptness in devising contingency plans, executing required modifications, and supervising issue-resolution endeavors, will be instrumental in mitigating potential risks, including scope fluctuations and budgetary overruns.

**PRINCIPAL ACCOUNTABILITIES AND FUNCTIONS**:

- Manage day-to-day operational aspects of projects and project scope: Oversee the seamless execution of project tasks and objectives, ensuring alignment with project scope and organizational goals.
- Collaborate with cross-functional teams: Define project objectives, requirements, and deliverables by working closely with teams from various departments, fostering effective communication and shared understanding.
- Develop detailed project schedules: Create comprehensive project schedules that outline tasks, timelines, and resource allocation, laying the foundation for successful project execution.
- Facilitate regular communication: Keep stakeholders informed of project status updates through regular and effective communication, ensuring transparency and alignment.
- Monitor project progress: Track project progress, identifying potential roadblocks, and proactively initiating corrective measures to keep the project on track.
- Build contingency plans: Anticipate unforeseen challenges and develop contingency plans to ensure project continuity in the face of unexpected obstacles.
- Evaluate project performance: Assess project performance against established goals, identifying successes and recommending improvements to enhance future projects.
- Oversee issue resolution processes: Supervise the resolution of project issues, maintaining a tracking system and escalating unresolved issues as necessary.
- Manage project budgets: Monitor expenses, manage project budgets, and take preemptive actions to prevent budget variances.
- Provide timely and accurate reports: Deliver regular project status reports, highlighting achievements, challenges, and areas needing attention.
- Collaborate with Facilities Management: Escalate complex issues requiring higher-level intervention to Facilities Management for timely resolution.
- Ensure complete project documentation: Maintain comprehensive and up-to-date project documents, ensuring accuracy and appropriate storage.
- Develop and execute work plans: Craft project work plans and adapt them as needed to accommodate changing requirements.
- Maintain accurate documentation: Reflect changes to scope, timelines, milestones, and deliverables through meticulous documentation.
- Effectively manage project scopes: Prioritize milestones and tasks, manage project communications, and ensure alignment with project scopes for multiple projects.
- Drive informed decision-making: Provide valuable insights to project teams, enhancing accountability and guiding effective decision-making.
- Maintain up-to-date project documentation: Ensure accuracy and accessibility of project records, facilitating easy reference and audit processes.
- For Business Continuity Planning purposes, assists Facilities AVP and Business Continuity Planning Teams in recovery planning and recovery plan development/enhancements.

**REQUIRED QUALIFICATIONS**:

- Bachelor's degree in a business management field desired
- Three to 5 years relevant work experience; and a general knowledge of Construction or Facilities management industry products, services and operations is required at time of hire. Prior project management experience is required.
- Knowledge of project management techniques and tools and direct work experience in project management capacity.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to analyze data and make informed decisions.
- Problem-solving skills and a proactive approach to addressing challenges.
- Knowledge of budget management principles.
- Adaptability to dynamic project environments and changing priorities.
