**Job Summary**:
This is a full-time **on-site** role, Monday
- Friday, 8am-5pm for an Administrative Assistant. The Administrative Assistant is responsible for managing the daily operations of the office,
- **Answering Phones**: Taking incoming calls, transferring them to the appropriate person or department, and relaying messages.
- **Scheduling**: Managing calendars, scheduling appointments, meetings, and events for managers or team members.
- **Data Entry**: Entering, updating, and maintaining databases, spreadsheets, and other records.
- **Filing and Organization**: Managing physical and digital filing systems to ensure easy retrieval of documents and information.
- **Office Supply Management**: Ordering and stocking office supplies, monitoring inventory levels, and coordinating equipment maintenance.
- **Reception Duties**: Greeting visitors, signing them in, and directing them to the appropriate person or department.
- **Travel Arrangements**: Booking flights, accommodations, and transportation for business trips or conferences.
- **Document Preparation**: Formatting, proofreading, and editing documents, presentations, and reports.
- **Meeting Support**: Setting up meeting rooms, preparing materials, taking meeting minutes, and distributing agendas.
- **Expense Reporting**: Managing expense reports, collecting receipts, and reconciling expenses.
- **Customer Service**: Providing assistance to clients, customers, or visitors, and addressing inquiries or concerns.
- **Research**: Conducting internet research, gathering information, and compiling reports as needed.
- **Project Assistance**: Assisting with special projects, coordinating tasks, and providing administrative support to project teams.
- **Time Management**: Prioritizing tasks, managing deadlines, and ensuring that assignments are completed in a timely manner.
**Qualifications**
- 5 years Administrative Assistance and Executive Administrative Assistance skills
- Clerical Skills
- Experience with QuickBooks
- Excellent Phone Etiquette and Communication skills
- Attention to detail and ability to multitask
- Ability to work in a team environment
- Bachelor's degree in Business Administration, Communications, or related field is preferred
- Experience in scheduling and appointment management is preferred
Pay: $65,000.00 - $70,000.00 per year
