**Ortega Counseling Center **has over 20 years’ experience of commitment to injured workers, presenting them with the finest vocational counseling for both Spanish and English speaking clients. This experience allows us to provide excellent services by adding a dimension of understanding in this sometimes confusing vocational rehabilitation process. Vocational counseling is an integral part of the injured worker’s path to a successful new career and a better future. The Client and Staff Relations Coordinator is an important member of the operations team, with the following duties:
The Office Manager is expected to work on-site in the City of Whittier, and will be responsible for overseeing client and staff relations, handling administrative and business duties as necessary, and works under the direct supervision of the President. Using excellent customer service skills, handles sensitive calls from concerned clients and defense & applicant attorneys, responds to inquiries and provides support and guidance to staff regarding client matters within 24 hours of inquiry, determines eligibility, closes cases which do not meet the eligibility criteria and ensures proper closure procedure, reviews and completes personal tasks daily, preparation of payroll timesheets ensuring missed punches and time off are accounted for, coordinates technical and operational matters with support from the Office Assistant (ie: telephones, computer/internet issues, and other equipment and furniture matters), as well as establishes and maintains effective working relationships with all employees, clients, and all members of the general public. Monitor team member performance (KPI’s) and take action to enhance services.

Attends staff meetings and trainings offered to improve and maintain high level of customer service skills. Attendance at work is an essential function of this position. **The Office Manager is experienced in the following areas**:
**EXPERIENCE**:
Experience with workers compensation or injured worker matters or 5 years working with disabled adults, and/or job placement services

1-2 years managing experience or 3-5 years supervisory experience

Experienced with managing KPI’s

Experience with Injured Worker Voucher Program a plus

General knowledge of practices and procedures of the Workers' Compensation Appeals Board and Department of Industrial Relations (DIR) a plus

**DETAIL ORIENTED**: Able to follow a detailed checklist systematically and develop own systems as needed for organizing/tracking work processes. Strong ability to review charts and documents for accuracy and completion, and follow up with corrections.

**DATA/COMPUTER ENTRY**: Must be confident with electronic systems and consistently accurate with entry. Advanced Microsoft Word and Excel.

**PROFESSIONAL DEMEANOR**: Interfaces with counselors, clients and others who attend in-office appointments. Must appreciate the sensitive nature of the injured worker population, and the importance of professionalism in all contacts with callers from the community and partner agencies.

**RESPONSIBLE PERSON**: Must be diligent about consistently guarding client confidentiality (i.e., securing client records by ensuring doors and files are locked, meeting HIPPA requirements, etc.)

**GOOD COMMUNICATOR**: Must be able to give clear and accurate information to coworkers, counselors, community partners and the public; must be able to effectively obtain requested documents with polite, persistent follow-up.
