The TMS Admissions Manager at Neuro Wellness Spa oversees the efficient and effective intake process from start to finish for patients interested in TMS treatment across all NWS locations. This role involves a diverse range of responsibilities including but not limited to:
1. Call Center:

- Oversight and management of intake representatives regarding TMS consultations.
- Communicating with patients and moving them through the process from first call to the start of treatment.
- Being a source of TMS knowledge for intake representatives to best serve our potential patients.
- Communicating with outside partners to ensure potential TMS patients are scheduled correctly with all necessary information.

2. Office Coordination:

- Addressing and responding to physicians and NWS staff to keep the TMS workflow as efficient as possible.
- Coordinating with admins, Utilization Review, and billing departments to assure patients are made aware of their status in the TMS pathway.
- Analyzing the different offices and addressing staff when there are areas that can be improved or made more efficient.

3. CRM Management:

- Oversight and management of TMS patients within Salesforce CRM platform.
- Data entry, data cleaning, and reporting on TMS
- Analyzing data to create solutions and/or improve workflow processes.

4. Internal Tracking Management
- Assuring all TMS staff are updating internal tracking in a timely and accurate manner.
- Communicating with VOB specialists and explaining benefits to both patients and staff to avoid financial problems.

5. Advancements and Improvements:

- Recommending and implementing novel improvements for enhanced office efficiency and improved patient care.

**Requirements**:

- Bachelor's degree or 8+ years of relevant experience. Master’s degree in a relevant field preferred.
- 3+ years of experience in healthcare administration, preferably in a psychiatric setting.
- 2+ years of experience with CRM systems. Proficiency with Salesforce preferred.
- 2+ years of customer service experience.
- Strong understanding of clinical protocols and regulatory compliance.
- Excellent interpersonal, communication, leadership, and problem-solving skills.
- Proficiency with Electronic Health Records (EHR). Proficiency with DrChrono preferred.
- Proficiency in Microsoft Office Suite
- Ability to prioritize responsibilities and work effectively in a fast-paced environment.
- Availability for On-Call Duties to handle urgent matters outside of clinic operational hours.
