**Essential Job Functions**:

- Monitors, maintains and identifies work standards that lead to improved operational performance.
- Maintains bus and rail maintenance personnel files, including payroll.
- Process bus and rail maintenance bargaining unit personnel payroll deviations, discrepancies and adjustments.
- Maintains and review attendance data in order to ensure employees are paid correctly and leave balances are accurate.
- Responds to employee’s inquiries regarding their paychecks, leave balances, deductions, and other payroll related matters.
- Assists in the development of procedures, forms and work measurements.
- Serves and is active on the Operations Data Team to establish better reporting and efficiencies.
- Adheres to established policies, objectives and time sensitive tasks and schedules.
- Writes and/or edits information contained in manuals and forms used to clarify operational policies and procedures.
- Organizes, authors, and presents oral and written reports used by department heads as the basis for day to day decision making.
- Employs sound research methods and techniques that support conclusions drawn from careful and thorough analysis.
- Scans, files and maintains maintenance department’s vehicle information.
- Demonstrates a conscientious effort to improve operational efficiency by decreasing turnaround times, streamlining work processes, and working cooperatively and jointly with colleagues.
- Collects, organizes, records, and verifies the accuracy of payroll information on behalf of bargaining unit employees including any disciplinary action taken.
- Track warranties in Spear.
- Tracks and calculates over/under mileage and hours for agency National Transit Database reporting.
- Coordinates and manages records related HRT's Drug and Alcohol Policy.
- Manage records created and received in compliance with the Hampton Roads Transit Records Management Policies and Procedures.
- Responsible for coordinating the records management effort within the department.
- All other duties as assigned.

- Works cooperatively with other HRT employees, outside agencies and the public.
- Possesses the ability to work in a fast-paced, unionized environment.
- Demonstrates a willingness to perform other duties as required that support the department's overall goals and objectives in an ongoing effort to achieve operational excellence.

**Records Coordinator**:
Serve as the Departmental Records Coordinator with responsibility for organizing and maintaining departmental files in accordance with all of HRT’s Records Management Policies and Procedures; preparing documents for imaging by designating file code information and forwarding to Records Management; maintaining (archiving/storage) and disposing of records in accordance with the approved HRT Records Retention and Disposition Schedules; attending regular information and training meetings; and providing information to the department Chief Officer and all department members on records management including paper, electronic records, photos, news articles, and other items.

**Training and/or Education**:
Minimum of high school diploma or equivalent.

**Required Experience**:
Two or more years of experience working in the transit industry preferred; Minimum of 2 years of financial and administrative experience is required.

**Licenses or Certificates**:
Possess a valid Driver's License. Acquire a Virginia Driver's License within 60 days after the date of hire (in instances when an out of state license is not the applicant's current state of residence).

**Special Requirements**:
This position is classified as non-essential personnel.
