We’re seeking a skilled Administrative Coordinator to join our not-for-profit, community-based arts organization. In this role, you’ll manage daily office operations, be a welcoming presence at the Center, manage administrative tasks, and support the smooth functioning of our organization.

The Administrative Coordinator will perform various administrative tasks, maintain office systems, ensure smooth workflow and support Center operations including the work of the Board of Directors, committees, program staff and volunteers.

Duties and responsibilities include:

- Coordinate administrative functions such as managing schedules, organizing meetings, and handling communication within the office.
- Provide guidance, coordinate efforts, maintain an organized flow of activities with clearly defined tasks assigned, and ensure good communication.
- Develop and maintain organized administrative operations and procedures for working with the bookkeeper, reporting for payroll; responding and managing all forms of correspondence; filing systems; supply requisitions; and performing or assigning and monitoring basic clerical functions.
- Implement and maintain structures, work plans and roles for activities for all those working at the Center including volunteers.
- Communicate effectively with leadership, membership, committee chairs, stakeholders, partners, and funders, and relay important information in a timely way.
- Open and close the Center.
- Oversee maintenance of the website, Facebook page, Instagram, public calendar, program/class guides, and other marketing materials and informational resources for the public.
- Maintain rosters and data on membership, donors, volunteers, class instructors, community partnerships and funders. Maintain the internal calendar and committee schedule.
- Define procedures for retention, protection, retrieval, and transfer.
- Maintain a list of required reports, renewals, licenses with dates/ processes/recordkeeping.

**Administrative Coordinator Qualifications and Skills**
- Proficiency with Microsoft Office Suite is essential. Experience in Donor Perfect, Quickbooks, Corsizio, Square, Word Press, and Adobe are a plus.
- Ability to multitask, prioritize, and maintain an organized office environment.
- Strong written and verbal communication skills.
- Strong people skills and comfort dealing with the public.
- Accuracy in documentation, financial transactions, and other administrative tasks.
- Ability to fulfill administrative responsibilities re: budgets such as tracking expenses, and other functions in Quickbooks or other not-for-profit financial software.
- Ability to efficiently manage time and deadlines to ensure smooth office operations.
- Ability to plan and coordinate projects, such as events or technology upgrades.
- Comfort with a dynamic work environment.
- Flexibility and a “whatever is needed to get the job done” attitude.

**Education and Requirements**:

- High school diploma, GED, or equivalent
- Two to three years’ experience in an office setting
- Arts-related experience not required, but this is an arts-oriented environment Customer service experience a plus

**Salary**: The salary range is $18 - $20/hr. depending upon experience and qualifications.

**About the Center**:
Almost 20 years ago, the City of Buchanan gave a beautiful mid-century modern building to a group of citizens to create the Art Center. Today the Roti Roti Art Center of Buchanan is a southwest Michigan resource for arts programming, classes, gift shop, and gallery exhibits of regional artists. Programs and activities, including the highly respected pottery program, are offered for everyone from young children to adults.In 2022, the Center was renamed the Roti Roti Art Center of Buchanan to recognize the Shirley & Donald Roti Roti Family for decades of supporting the arts in Buchanan.
