HUMAN RESOURCES ADMINISTRATIVE ASSISTANT
POSITION: Human Resources Administrative Assistant - Certified Staff
REPORTS TO: Assistant Superintendent of Human Resources
EMPLOYEE TYPE: Class I/Nonexempt
ESSENTIAL TASKS:

In order to meet the District’s goals to support all employees, the Human Resources Administrative Assistant will perform the following functions for Certified Staff:
- Process new employees through onboarding procedures and facilitate background checks
- Create new employees' Frontline accounts used for onboarding
- Audit and export salaries
- Update evaluation lists
- Facilitate GCN tutorials
- Run, audit, and submit IL ELRA report for GEA
- Oversee teachers’ tenure status and send teachers tenure letters
- Create dismissal lists and letters for part-time teachers
- Create and issue annual administrator contracts
- Prepare and issue paperwork and professional development hours for new teacher orientations, new teacher institute, and new teacher induction sessions
- Oversee lane advancement for teachers in graduate programs
- Submit EIS data in conjunction with the Human Resources Coordinator
- Process NIU tuition waivers
- Respond to requests for former employees’ Employment History Reviews (EHR) and review new employees’ EHRs
- Facilitate life event cards (condolences; congratulations)
- Maintain employee movement on “the wall”
- Remove job postings from the Kane County Human Resources Consortium website as positions are filled
- Prepare materials for job fairs
Additionally, the Human Resources Administrative Assistant will perform the following functions:
- Create the HR Personnel Report and letters from the Board of Education
- Create and issue district ID badges
- In conjunction with the HR Administrative Assistant-Classified Staff, maintain stipend spreadsheets, enter stipend data, and create stipend contracts with HR Team
- Annually verify National Board certification for teachers receiving the National Board stipend
- Facilitate Skyward yearend rollover in conjunction with HR team
- In conjunction with the Human Resources team, update information related to Senate Bill 7
- Perform clerical duties, including filing and scanning
- Remains free of any alcohol or non-prescribed controlled substances in the workplace throughout his/her employment in the District
- Performs other duties as assigned by the Assistant Superintendent of Human Resources
**REQUIREMENTS**:
- Knowledge of the District’s HRIS software
- Excellent organizational and time-management skills
- Teamwork skills
- Ability to operate general office equipment
- Excellent written and verbal communication skills
- Ability to maintain confidential information
PHYSICAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
Pay: $18.47 - $19.73 per hour
Expected hours: 40 per week
