We are currently seeking a detail-oriented and organized individual to join our team as an **Operations Assistant** for our West Coast location. This individual will work closely with both our Office Manager and our Operations team to help with day-to-day activities. **Basic Must-Have Skills**:

- ** Invoice and Expense Processing**: Accurately process vendor invoices and expense reports in a timely manner.
- ** Vendor Relationship Management**: Manage and maintain vendor relationships effectively.
- ** Reconciliation**: Reconcile vendor statements, purchase orders (POs), and invoices as needed.
- ** End-of-Period Processes**: Assist with month, quarter, and year-end processes as needed.
- ** Excel Proficiency**: Experience using Excel (entry to mid-level), including formulas, filters, and pivot tables.
- ** Payment Processing**: Prepare and process weekly check runs and electronic payments.
- ** Expense Coding**: Code expenses to appropriate accounts and cost centers.

**Nice-to-Have Skills**:

- ** Bookkeeping**: Basic knowledge of bookkeeping practices.
- ** General Ledger Accounting**: Familiarity with general ledger accounting principles.
- ** Month-End Closing**: Assist with month-end closing activities, including accruals, reconciliations, and reporting.
- ** Mathematics**: Proficiency in mathematics up to an Algebra 2 level or equivalent.

**Additional Requirements**:

- ** Organization**: Ability to manage schedules, tasks, and information efficiently.
- ** Communication**: Clear written and verbal communication skills.
- ** Time Management**: Ability to prioritize tasks and meet deadlines.
- ** Clerical Tasks**: Sorting and sending mail, managing office supplies, and maintaining inventory.
- ** File Maintenance**: Creating and maintaining both electronic and physical filing systems.
- ** General Support**: Providing support to visitors and shop personnel.
- ** Correspondence**: Producing and distributing correspondence, including memos, letters, faxes, and forms.
- ** Report Assistance**: Assisting in the preparation of regularly scheduled reports.
- ** Job Hours Reconciliation**: Reconciling job hours accurately.
- ** Database Management**: Inputting and updating information in databases and spreadsheets.

**Technical Requirements**:

- ** Microsoft Office Proficiency**: Skilled in all Microsoft products, including Excel, PowerPoint, and Word.
- ** Microsoft 365 and SharePoint**: Familiarity with Microsoft 365 and SharePoint.
- ** ERP Systems**: At least 3 years of experience using an ERP system such as JDE or SAP.
- ** Payroll Systems**: Familiarity with ADP or equivalent payroll systems.
- ** Manufacturing Environment**: At least 3 years of experience working and communicating with operational staff in a manufacturing environment.

**Preferred Education**:

- ** Degree**: Minimum of an Associate's Degree in Business Administration, Accounting, or a related field.
