Hours: Full Time, Monday-Friday, 8:00AM-4:30PM

**GENERAL STATEMENT OF RESPONSIBILITIES**:
The Social Services Assistant will provide high-level clerical and administrative support including, but not limited to statistical reporting, referrals, written communication, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The Social Services Assistant will work closely with office staff to promote inter-agency and intra-agency communication to achieve continuity of care. The Social Services Assistant may also assist in providing referrals to clients as requested by staff. The Social Services Assistant needs to be highly organized and possess good time management and decision-making skills to set appropriate priorities and meet timelines and offer patient centered care. Must be able to handle confidential information appropriately. Must possess confidence, flexibility, initiative and the ability to maturely deal with unexpected demands and incidents.

**SPECIFIC DUTIES AND RESPONSIBILITIES**:

- Maintain confidentiality, as appropriate, for clients participating in the program.
- Effectively communicate information with internal and external entities utilizing strong written and verbal communication skills.
- Listen and respond appropriately to others.
- Support director, supervisors and employees through a variety of tasks related to organization and communication. May act as a liaison with other departments and outside agencies.
- Manage, record, and track purchase orders, requests, and transactions.
- Coordinates meetings, which may include picking up/ordering supplies, creating agendas, setting up room and logistics, sending out meeting notices, and taking notes as requested.
- Responsible for compiling data, and preparing papers for consideration and presentation by department staff as requested.
- Responsible for providing administrative skills such as filing, organizing, binding, computer specifically Microsoft Office, and completing Travel/Training packets for department staff.
- May assist staff with schedules to support client needs as needed.
- Screens and refers telephone calls to appropriate personnel within the department.
- Ability to handle phone calls from clients in distress and provide an appropriate referral or information.
- Administrative duties are completed accurately and delivered with high quality and in a timely manner.
- Organizing and maintaining Social Services meeting area, ensuring supplies are stocked and department flyers are updated. Also responsible for ensuring the common area is clean and presentable to the community.
- Greets all visitors and clients with dignity and respect. Promoting a welcoming environment.
- Participates and provides assistance with SIHC events and activities, as needed.
- Maintains inventory and ensures office organization.
- Assist in the coordination of client transports for appointments and community events and collecting mileage sheets as requested.
- Follows SIHC policies, procedures, and protocols appropriately.
- Prepares meeting minutes as assigned and sign in sheets for groups and meetings as needed.
- Professionally and respectfully represent SIHC and Social Services in the community.
- Works independently and within a team
- Ability to work a flexible schedule may be required based on need.

**QUALIFICATIONS**:
**Education/Experience**:Associate degree (or higher) in a social services discipline is preferred. Applicant must have a positive attitude with a willingness to serve. Training and experience in clerical and secretarial duties is required. Applicant must be able to work with mínimal supervision. Proficient in social services and programs. Applicant must possess strong customer service and computer skills, including proficiency in Microsoft Office. Must be able to proofread own work and other correspondence. Must be able to deliver clear and concise verbal communication and interact graciously and professionally. Knowledge of confidentiality policies and procedures and be able to maintain absolute confidentiality. Must be able to take accurate telephone messages. Must be organized and have strong attention to detail..

Must be 18 years of age or older.

**Licenses/Certifications**: A valid California driver’s license is required at the time of appointment and must be maintained throughout employment.

Applicant must be insurable under SIHC vehicle insurance policy at the time of hire and throughout employment.
