Provide specialized support on an independent or supervised basis to the Office of Advancement: work will be done in support of the office’s effort to build alumni participation and support through strong communication, personal interaction, and planned events.

**VACATION BLACKOUT DATES**:

- Homecoming and Reunion Weekend (TBD in September, October, or November each year)
- March 17 (St. Patrick’s Day) - if it falls on a Sunday, must be available the day before
- Commencement in May (both Friday night and Saturday)
- At least three Saturdays in the fall for home football game Press Box Receptions (including Homecoming)
- Three Alumni Executive Board Meetings (to be scheduled on a Saturday in Sept/Oct, March/April, and June)

**Physical Effort & Work Environment**

The work environment consists of exposure to physical conditions typical of a normal office environment. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects.

**Minimum Qualifications**:

- 1C-Advanced Reception/Response- Consistently demonstrates ability to independently provide- routine and non-routine responses and detailed information-
- broadcast information or answers. Directs visitors as needed- 4B-Intermediate Event Organization- Consistently demonstrates ability to organize and coordinate- events (meetings, workshops, seminars, or receptions) under- direction of supervisor. (Examples could include securing- meeting room, audio/visual equipment, food & beverages,- overnight accommodations)- 5B-Intermediate Written Communication- Consistently demonstrates ability to create routine- correspondence or update template or samples with speed and- accuracy. Utilizes a comprehensive knowledge of supported- word processing software- 6B-Intermediate Office Organization- Consistently demonstrates ability to manage operational- aspects of the office with mínimal to no supervision, including- time management, information distribution, and project- deadlines. Consistently demonstrates ability to file documents- and student records using standard filing procedures as well as- a familiarity with retention policies- 9B-Intermediate Auditing & Data Reconciliation- Consistently demonstrates ability to audit accuracy of data and- investigate discrepancies, as well as reconcile expense reports.- Errors are located using developed attention to detail. Errors- committed are of average severity, and overall risk to institution- is concerning and may necessitate corrective action- 15C-Advanced Interpersonal Communication- Consistently demonstrates high communication skills, and- sensitivity to the concerns or interests of others in conveying- information. Demonstrates the understanding of factual- information and the use of persuasion tactics to help others- identify solutions or possible alternative courses of action- 18C-Advanced Organizational Knowledge- Consistently demonstrates extensive knowledge of entire- College and outside organizations**Essential Functions**:

- Serve as initial point of contact in person, over the phone and online for students, parents, staff and the general public
- Participate in all aspects of Advancement event planning, including reserving facilities, placing orders, overseeing contract services, and maintaining finances
- Assist in designing invitations, posters, Marist Magazine, and the Alumni web site
- Type and create various word processing documents; proofread as needed
- Maintain and update various electronic database records; run reports, lists, labels, etc
- Take, reproduce, and file meeting minutes and various dictations
- Retain and manage hard copy files for various office records
- Make purchases such as gifts and supplies; maintain event budgets
- Track and reconcile payment records and purchase orders
- Maintain calendars and event schedules as needed
- Consistently demonstrate courtesy, tact, professionalism and the ability to handle difficult people
- Perform other job-related duties as required
