**JOB SUMMARY**

The payroll specialist ensures the accurate and timely processing and payment of payroll to all employees, the required tax filing, and report development and generation, in accordance with company policies and procedures.

**ESSENTIAL RESPONSIBILITIES**
- Accurately prepares and processes time sensitive weekly, semi-monthly, and ad-hoc payrolls and post payroll activities for all company employees, including but not limited to the processing of 401K and HSA/FSA/DCFSA payments, entering and reconciling payroll related journal entries ensuring correct general ledger account posting.
- Maintains exceptional level of confidentiality and is responsible for securely archiving payroll related records in accordance with company policies and procedures.
- Responsible for resolving payroll related inquiries and company-wide communications of payroll processing schedule changes.
- Creates and maintains payroll codes, ensuring codes are correctly mapped to the appropriate general ledger account.
- Enters weekly accrued PTO according to the technicians On-Call schedule in payroll system.
- Prepares and remits monthly Union reports. Maintains Union rates, deductions, and fringes in the payroll system and communicates changes to internal stakeholders. Maintains relationships with Union contacts, assists with Union audits, and responds to and archives Union correspondences.
- Assists with employee onboarding, offboarding, and open enrollment.
- Assists with year-end PSP calculations and funding.
- Maintains employee records, earnings, and deductions in payroll system.
- Maintains field labor costing sheets.
- Assists with certified payroll requests.
- Monitors employee payroll benefit deduction changes, ensuring proper entry in payroll system and submission of payroll deduction information to third-party benefit sites. Includes but is not limited to 401(k) deferrals, 401(k) loan deductions, and dependent care deductions.
- Processes child support/wage garnishment payments. Responds to Verification of Employment requests. Ensures the completion of all required records, paperwork, documents, etc.
- Responsible for timely and successful month-end and year-end payroll close functions.
- Proactively maintains company data within payroll system and communicates schedule changes, system updates and maintenance.
- Develops and produces all required and requested payroll reports on a regular basis, ensuring accurate, complete, and timely information.
- Acts as a technical resource to other departments to address and resolve payroll related inquiries and problems.
- Manages all payroll records of the company, ensuring compliance with all company policies, regulations and legal requirements and satisfactory review by external auditors. Ensures the maintenance of record-keeping standards.
- Supports company and department driven goals and initiatives through continuous process improvement.

**SECONDARY RESPONSIBILITIES**
- Works with colleagues to update processes to improve efficiency and accuracy within the department.
- Maintains knowledge of acceptable accounting practices and procedures.
- Maintains technical competency and remain current in technology and changes in the industry.
- Comprehends and adheres to all safety, quality, and Company guidelines specified in the Employee Handbook, the safety policy manuals, quality procedures or any official Company documents.
- Other duties, as assigned.

**Requirements**:
**ESSENTIAL QUALIFICATIONS/REQUIREMENTS**:

- ** Education and/or Experience**: Associates Degree in Accounting with 2+ years of related work experience, or equivalent combination of education and experience.
- ** Mathematical Skills**: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, percent and to draw and interpret bar graphs.
- ** Computer Skills**: Ability to use Microsoft Office Suite (Word, Excel, Outlook). Experience in accounting software with ability to learn new system. Minimum typing speed of 45 words per minute.
- ** Physical Demands**: While performing the duties of this job, the employee is regularly required to sit, stand, walk; and talk or hear. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
- ** Work Environment**: This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.
- ** Supervisory Responsibility**: This position has no supervisory responsibilities.
- ** Travel Requirements**: No travel is expected for this position.
- ** Position Type and Expected Hours of Work**: This is a full-time position, and typical work hours and days are Monday through Friday, 8:00 A.M. to 5:00 P.M. with one (1) hour unpaid lunch.
