**Essential Duties / Responsibilities**
- **Administrative Support**: Provide administrative assistance to the business development team, including managing calendars, document management, expense tracking, scheduling meetings, agenda preparation, and arranging travel logistics.
- **Proposal & Presentation Preparation**: Assist in the team with the creation of project proposals, presentations, and other documents required for business development activities.
- **Database Management**: Accurately enter leads into the CRM. Maintain and update databases of clients, prospects, and business contacts, ensuring data accuracy and completeness.
- **Contract Review**: Meticulously review agreements for completeness and accuracy prior to execution and archiving, promptly alerting BD Representatives and President when contracts deviate from policy.
- **Communication**: Serve as a liaison between the business development team and internal/external stakeholders, facilitating communication and ensuring timely follow-up on inquiries.
- **Event Coordination**: Assist in planning and coordinating events, conferences, and networking activities to promote business development initiatives.
- **Reporting**: Prepare regular reports on business development activities, including pipeline updates and performance metrics.

**Knowledge, Skills, and Abilities**:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:

- Bachelor's degree in business administration, marketing, or a related field preferred.
- Previous experience (5+ years) in an administrative role supporting a C-Suite level executive, preferably in business development or sales is required.
- Strong organizational, time management, and communication skills are essential.
- Meticulous attention to detail and accuracy in handling documentation, and correspondence.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment while remaining self-motivated
- Strong problem-solving skills with the ability to identify issues and propose solutions.
- Collaborative mindset with the ability to work well in a team environment.

**PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS**
- Primarily works in an office environment.
- Occasionally exposed to all environmental temperatures and weather conditions when visiting locations.
