Perform administrative/secretarial duties and assist the Assistant Superintendent of Human Talent in efficient operation of the department.

**Qualifications**:
**Minimum Education/Certification**:
High school diploma or equivalent

**Minimum Experience**:
Three years secretarial experience, preferably in a public education environment

**Special knowledge and Skills**:
Knowledge of all job-related skills necessary to perform assigned duties

**Major Responsibilities and Duties**:

- Serve as Administrative Assistant to the Assistant Superintendent of Human Talent
- Serve as liaison for the Assistant Superintendent of Human Talent and department to promote positive relations with other administrators, district staff, parents, community, and others.
- Perform secretarial duties for department administrators as needed.
- Coordinate meetings - arrange for facilities, catering, contact participants, and prepare materials.
- Assist in development department budget & maintain accurate records of expenditures.
- Demonstrate responsible fiscal control of the department budget and coordinate with campuses purchasing, invoicing and inventorying items as appropriate.
- Maintain records.
- Process monthly mileage reimbursements for department.
- Facilitate preparation of major district events such as Meet the Superintendent, A+ Awards Banquet, District Job Fair.
- Process department absences.
- Maintain time-clocks for department paraprofessionals.
- Process work-orders for department.
- Serve as lead for other paraprofessionals in department.
- Hold monthly paraprofessional meetings.
- Maintain general supply closets for department.
- Maintain supply & refreshments for onboarding events.
- Assist in coordination department programs - preparation of brochures, materials, registration, and maintenance of participant database.
- Prepare quality documents - agendas, correspondence, website information, program evaluations, Board Reports, etc.
- Prepare graphics for presentations.
- Coordinate registration, travel and housing arrangement for Assistant Superintendent of Human Talent and Department Administrators.
- Demonstrate initiative to develop skills applicable to performance of assigned duties.
- Maintain personnel files of administrators assuring the highest level of confidentiality of information.
- Take minutes during meetings, as needed.
- Maintain calendar of events for the Human Talent department.

**Working Conditions**:

- Position may require periods of sitting at computer or standing at copier.
- Some lifting of boxes.
- Use of a vehicle is necessary to run errand and pick up supplies as necessary.
- Sometimes necessary to work after-hours to complete projects.

**Wage/Hour Status**:Non-Exempt

**Pay Grade: 7 -** Administrative Support
