BETAH Associates is seeking a full-time **Logistics Specialist **to support a government client We are looking for an individual with in-person, hybrid, and virtual meeting and conference planning experience. The position is hybrid with required on-site attendance at events and meetings as needed. The ability to work on-site in the DC metro area is a requirement

.**Essential Duties & Responsibilities** **.

**Event Planning and Coordination**:
Assist in the planning and execution of meetings, conferences, and events.
Coordinate all logístical aspects of events, including venue selection, room setup, and equipment rental.

**Venue and Vendor Management**:
Research and select appropriate venues for events.
Negotiate contracts and manage relationships with vendors and suppliers.

**Travel and Accommodation Arrangements**:
Coordinate travel arrangements and accommodations for meeting participants.
Ensure all logistics are handled efficiently and cost-effectively.

**On-site Event Support**:
Oversee the setup and teardown of event spaces.
Ensure all necessary materials and equipment are available and functioning properly.
Provide on-site support during events to address any logístical issues.

**Communication and Liaison**:
Serve as the primary point of contact for event participants, vendors, and stakeholders.
Communicate event details and updates to attendees in a timely manner.
Liaise with internal teams and external vendors to ensure all event requirements are met.
**Budget Management**:
Assist in developing and managing event budgets.
Track expenses and ensure all costs are within budget.

**Documentation and Reporting**:
Maintain accurate records of event logistics and activities.
Prepare reports on event outcomes and follow-up actions.

**Compliance and Safety**:
Ensure all events comply with relevant regulations and safety standards.
Develop and implement safety plans and protocols for events.

**Post-Event Evaluation**:
Collect feedback from event participants to identify areas for improvement.
Assist in implementing improvements to enhance future events.

**Professional Development**:
Stay informed about industry trends and best practices in event logistics.
Pursue opportunities for professional growth and development.

**Education and Experience**
- Bachelor?s degree in Event Management, Hospitality, Business Administration, or a related field.
- 2-4 years of experience in event planning, logistics coordination, or a related field.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in event management software and tools (e.g., Cvent, Eventbrite).
- Ability to manage multiple tasks and projects simultaneously.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work effectively in a team environment.
- Strong interpersonal skills with the ability to build and maintain relationships with clients, vendors, and stakeholders.
- Ability to adapt to changing priorities and handle stressful situations effectively.
