Description:
**JOB SUMMARY**: Responsible for timely and accurate processing and maintenance of accounts payable. Respond to vendor inquiries regarding account status. Ensure all records, reports and files are organized and maintained timely.

**WORK PERFORMED**:
**ACCOUNTS PAYABLE**:
1. Maintain vendor master file data for each vendor including address, phone number, federal I.D. number/social security number for 1099 reporting.

2. Review invoices for accuracy and validity, obtain supervisory approval and determine or verify coding from chart of accounts.

3. Verify reciprocal charges from other clubs and assure posting to member account.

4. Review invoices for proper sales and use tax paid, preparing accruals as appropriate.

5. Generate checks, match check copy with invoices, approved purchase orders, obtain signatures and mail checks weekly. Ensure all payments are made timely in accordance with vendor terms and all discounts taken accordingly.

6. Maintain vendor paid invoice files and open payable file.

7. Reconcile vendor statements each month end, ensuring all discrepancies resolved timely, to ensure expenses all recorded in the appropriate month.

8. Perform month-end account payable aging to general ledger, ensuring that all invoices for the month are posted and all manual checks have been posted.

**MISCELLANEOUS**:
9. Scan member payments into the bank system and reconcile to the summary batch report daily.

10. Update employee insurance spreadsheet monthly with employee deductions and billing information.

11. Assist and be able to perform duties of Accounts Receivable and Payroll when necessary.

12. Reconcile Fixed Asset system on an annual basis based on asset activity.

13. Performs all other duties as assigned by supervisor.

**QUALIFICATIONS**:
1. Must possess excellent data entry skills

2. Must be detail oriented but also be able to work in a fast paced and high-volume environment

3. Have at least 2 years relevant AP experience

4. Must have excellent oral communication skills

5. Ability to read, write and speak fluently in English language required
