Overview:

**Hours: Full Time - TEMP MAY- AUGUST / 10am
- 6pm**

**Job Summary**: The Administrative Assistant performs a combination of reception and clerical duties for the Community Center. The Administrative Assistant helps create a welcoming culture by greeting guests professionally and warmly. The Administrative Assistant also supports the smooth running of the facility by providing administrative support to the Center and After School Directors.

**Major Duties**:

- Create a welcoming environment for youth, families, staff, and visitors alike.
- Greet and announce participants and guests upon arrival and direct them to the appropriate program or service.
- Assist in maintaining children’s records, including attendance, medical forms, and emergency contact.
- Data Entry of attendance in DYCD Connect.
- Collect and distribute snack to participants.
- Assist with dismissal and arrival of afterschool participants.
- Maintain electronic and/or paper sign-in process.
- Answer and direct all incoming calls to appropriate staff.
- Sort all incoming and outgoing correspondence, distribute appropriately, and perform mail runs as needed to other agency sites.
- Maintain inventory of all office and cleaning supplies and order these as needed.
- Assist as needed during special program and agency events including outreach, mailings, coordinating meetings, food purchase and room set up, etc.
- Operate various office machines (fax, copier, scanner, etc.) and monitor maintenance of equipment, requesting repair or service when needed.
- Perform other duties as assigned.

**Qualifications**:

- High School Diploma or GED and minimum 1-year office experience required.
- Bilingual (English/Spanish) preferred.
- Must have the ability to interact in a positive and courteous manner with families, GSS staff and callers to the agency.
- Must be able to handle fast-paced, multi-tasking environment with high volume of participant traffic.
- Ability to work additional hours when necessary.
- Excellent verbal and written communication skills.
- Must have a commitment to work from a strength-based and/or youth development perspective.
