Administrative Assistant, Technical Operations
This job is a member of the Certification, ODA, and Project Engineering Team within the Technical Operations Division. Provide administrative and operational support to department leadership, ODA personnel and professional contract services.
What you'll do:
- Maintain timekeeping entries in Workbrain for all employees and update FMLA information.
- Compile, distribute, and maintain organizational records, reports, distribution lists, and administrative tracking systems.
- Manage department and ODA calendars, scheduling, recurring meetings, and organizational communications.
- Create and standardize agendas, creative presentations, minutes, action item tracking, and follow-up communications to support ODA leadership.
- Process orders and professional service invoices in COUPA and support ODA budget tracking through consistent logging and tracking.
- Coordinate onboarding and offboarding activities for employees and consultants.
- Manage incoming and outgoing email, mail, shipping, office logistics, and related administrative services.
- Support training coordination, employee recognition programs, and department communications.
- Identify opportunities for process improvement, standardization, automation, and administrative efficiency improvements.
- Handle confidential and sensitive information with professionalism and discretion.
All you'll need for success:
Minimum Qualifications:
- High School diploma or GED equivalency
Preferred Qualifications:
- Working knowledge of WorkBrain and/or COUPA
- Previous airline experience
- Associate's or Bachelor's degree in Business Administration, Communications, Organizational Leadership, or a related field.
Skills, Licenses & Certifications:
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Strong organizational and time-management skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Demonstrated attention to detail and commitment to accuracy.
- Ability to learn complex business processes, terminology, and organizational structures quickly.
- Experience developing reports, tracking metrics, or maintaining administrative databases preferred.
- Ability to work independently and exercise sound judgment.
