The Role We are looking for a hands-on Senior Payroll Manager to build and lead our payroll function during a critical phase of hypergrowth. This is a full-time hybrid position based in San Francisco, CA. At Abby Care, payroll isn’t just a back-office function - it is core to our business. We employ family caregivers, meaning our payroll operations directly impact the livelihoods of the families we serve. Reporting to the Director of People Operations and Programs, you will lead the Payroll team and manage the operational complexity of a diverse, global workforce. This includes salaried HQ and clinical employees, a rapidly growing population of hourly caregivers, and a large network of US and international contractors. We need a leader who can execute the current process with zero defects, manage a team, and simultaneously build the automated, scalable infrastructure we need for the future. Key Responsibilities Team leadership: Lead, mentor, and grow a high-performing payroll team. You will foster a culture of accuracy and service, ensuring your team has the resources and guidance to support our rapidly expanding headcount and offer excellent customer service to our workers. Total workforce payroll: Manage end-to-end processing for all worker types. This includes US W-2 employees (exempt/non-exempt), US-based 1099 contractors, and our international workforce. You will own the specific workflows required to ensure contractors are paid timely and accurately alongside our employees. Benefits and equity administration: Oversee the payroll side of benefits (401k, FSA/HSA, etc.), ensuring tax withholdings are precise, reporting is seamless, and carrier feeds are accurate. Scale systems and processes: We are growing out of our early-stage workflows. You will implement and optimize our payroll systems to support a workforce that is scaling quickly. You will lead the charge on automating manual data entry and integrating payroll with our HRIS and Time & Attendance tools. Own multi-state and global payroll compliance: Manage the complexity of establishing payroll tax accounts and registrations across new US states. Globally, you will ensure we remain compliant with local regulations regarding international contractor payments and EOR arrangements. Partner with finance and accounting: Work closely with the Finance team to ensure payroll GLs, journal entries, and accruals are precise. You will lead the payroll side of month-end close and ensure we are audit-ready at all times. Service and support: Serve as the primary escalation point for complex payroll inquiries. You will help our team and our caregivers understand their pay and deductions, delivering answers with empathy and speed. Partner closely with Market Leaders (GMs) : Work closely with our GMs in each caregiver market to ensure tight, accurate, and timely payroll operations, proactively surface and resolve issues, and deliver a seamless caregiver employee experience. The Requirements Experience: 10+ years of payroll experience (3+ years as Payroll Manager), with a specific focus on high-growth startups or healthcare organizations. Leadership: Proven experience managing direct reports. You have hired, trained, and developed payroll professionals before. Global and contractor expertise: You have managed payroll for a mixed workforce that includes US W-2s, US 1099s, and international contractors. You understand the operational nuances of paying contractors through payroll systems versus AP. Multi-state expertise: You have successfully managed payroll for employees across multiple states and are comfortable navigating the nuances of multiple state labor laws and varying local tax jurisdictions. Technical proficiency: You are an expert in modern payroll platforms (e.g., Rippling, ADP, UKG, Workday, etc.) and have advanced Excel skills. You don't just run reports; you know how to manipulate data to find answers. Operational agility: You have moved a company from "manual and messy" to "automated and structured." You are comfortable working in an environment where processes are being built in real-time. Uncompromising accuracy: You understand that in our business, a payroll error isn't just a number - it’s a family’s rent or groceries. You have a track record of maintaining high accuracy under tight deadlines. Modern tech stack fluency: You thrive in a cloud-native environment. You are highly proficient in Slack and Google Workspace (G Suite), using them for rapid communication and real-time collaboration. You are comfortable navigating multiple SaaS platforms simultaneously and prefer agile, digital workflows over static files and email chains. Bonus points for Healthcare / Medicaid program understanding: Experience with Medicaid-funded home care programs (e.g., HCBS waivers, IHSS, CDPAP) or similar government-regulated payment structures. You understand how state-specific funding rules impact overtime, maximum hours, and pay rates. xrczosw Certification: FPC or CPP certification.
