Our client, in North Kingstown, RI is seeking a Marketing Administrator to join their team.
Job Title: Marketing Administrator - Event Support
Location: North Kingstown , RI
Pay Range: $20-$25/hr
Job ResponsibilitiesEvent support and event management:
· Collaborate with campaign teams on event planning and management.
· Oversee logistics for open house events, including handling housing requests.
· Manage the gifting program, including ordering and ensuring delivery of swag items.
· Administer the apparel program, maintaining the portal and supporting proper brand execution.
· Handle printed assets through the Ciloo platform, assisting with user accounts and order issues.
· Develop pre-event materials for the sales team and ensure all event necessities are ordered and delivered on time.
Financial Management:
· Foster accountability and encourage prudent financial practices.
· Ensure accurate credit card reconciliations and transaction records.
· Track and report expenditures related to events and marketing, ensuring alignment with the budget.
· Generate comprehensive reports for better financial planning and decision-making.
Reconciliation and Reporting:
· Conduct frequent credit card statement reconciliations with recorded expenditures, promptly addressing discrepancies to maintain financial accuracy.
· Collaborate daily with the accounting department to ensure seamless financial data integration and accurate reporting.
Marketing Team support:
· Establish and maintain vendor relationships, serving as the main point of contact and addressing any issues.
· Manage purchase orders, entering, tracking, and modifying them as needed, and ensuring timely vendor payments.
· Act as a liaison between Accounts Payable and vendors to resolve payment issues and monitor marketing vendor invoices.
· Conduct meetings with campaign managers to review budget spending and ensure alignment with financial goals.
Admin support of Marketing VP:
· Assist the Marketing VP in budget planning and management, and provide administrative support to the marketing staff.
· Plan and coordinate meetings for the Marketing VP, handling scheduling and logistics.
