Corporate Relations Administration

POSITION TITLE: Corporate Relations Coordinator
REPORTS TO: Senior Manager, Corporate Relations
SUMMARY: Responsible for supporting Corporate Relations fundraising processes. Assist with a variety of administrative functions that support Corporate Relations, Innovation, and the AGA Foundation.
Duties and Responsibilities:
- Complete and track grant submissions and other funding requests to corporate supporters, manage revenue tracking documents, and grant inboxes.
- Report on key metrics related to funding.
- Track and complete grant reconciliations for closeout of programs.
- Develop and maintain procedures, systems, and templates etc. for effective management of grants ensuring grant deadlines are met.
- Route and track contracts using AGA software.
- Coordinate calendars including the facilitation of internal and external meetings.
- Assist in preparing documents for meetings including Power Point presentations, company backgrounders and agendas.
- Work closely with the Finance Department to initiate program code requests, invoice requests, and track status of current and outstanding funds.
- Manage and develop standard operating procedures.
- Responsible for data entry management and migration of data to a new platform.
- Support the AGA Research Foundation’s operations and coordinate administrative processes for all donor stewardship letters e.g. gift acknowledgement letters and welcome letters.
- Support Innovation's operations and assist with administrative processes for key opinion leader (KOL) meetings e.g. scheduling, coordinating pre-meeting resources, contracting, invoicing and reimbursements.
- Other duties, as assigned, by the Corporate Relations, Innovation and AGA Foundation managers and directors.
Qualifications:
- Administrative experience in healthcare, education, or non-profit sectors preferred.
- Experience managing or working in a CRM, donor database, or other constituent database.
- Experience with grants: research, writing, or reporting.
- Excellent organizational skills, accuracy, and attention to detail.
- Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint. Knowledge or familiarity with SharePoint and Teams.
- Self-motivated, and proactive team player who takes initiative to identify and pursue opportunities and solve problems.
- Bachelor’s degree, preferred.
- Some travel may be required (2-3 times per year).
