Summary: The Associate Manager of Operations will be responsible for the coordination and management of select centralized functions & programs at designated Penn Medicine facility. These functions will be related to Patient & Employee Experience and Community Relations.The Associate Manager of Operations will also be responsible for project management related to initiatives set forth by the Director and Ambulatory Leadership along with being the second line of management for Central Operations.The Associate Manager of Operations will be an integral part of driving & supporting the culture along with projects related to innovation, process improvement, efficiency, standardization & experience.The Associate Manager of Operations will directly oversee designated central services areas, the Volunteer program, our multiple Internship programs, and future related programs that serve our internal and external stakeholders (including direct oversight of designated staff/volunteers).The Associate Manager of Operations will provide data and analytic support and be the go-to data resource building and region related initiatives. Will have a full understanding of the multiple data marts the center and team rely on to accomplish their analytical tasks. Translate the business needs into data questions and build queries, dashboards, and reports.The Associate Manager of Operations will also serve as SME for technology and processes at Penn Medicine which is integral for the coordinated care/experience at designated location. The Associate Manager of Operations will coordinate activities and escalations between our patients, practices, central registration, security, safety, property management, IS/IT, HR, materials management, our hospital partners, outside vendors, Ambulatory Administration, & various other stakeholders in an effort to strive for the most optimal patient and employee experience at Penn Medicine both locally and in our region.
Responsibilities:
- Directly manages designated central services areas (examples: Ambassadors, New Patient Navigation, Integrated PSA/CSAs), students depending on program & season, and future related programs that serve our internal and external stakeholders (including direct oversight of designated staff/volunteers). Ensures success and collaboration amongst these programs and the stakeholders they serve.
- Primary management of community relations activities for Regional Ambulatory Center (and some regional activities) including - sponsorships, community partnerships, event management, school partnerships & development activities. Leads the Community Ambassador program. Serve as point-of-contact for vendors interested in presenting to Penn Medicine staff including organizing building visits and set-up.
- Primary responsibility for patient & employee experience programs at Regional Ambulatory Center. Lead committees, plan activities, seek input, drive engagement, develop opportunities, and stay connected with the various ambulatory stakeholder groups + employee groups to positively impact local culture.
- Assist in the coordination of any facility/building-wide initiatives at designated location (and potentially in our region). Examples: technology, expansion of space or programs, regional partnerships. This may include coordination of complex meetings/groups, conference rooms, SME information & stakeholder feedback.
- Coordinate and act as local SME for data and analytic support for patient operations at Regional Ambulatory Center. Supports needs on an ad hoc basis + supporting long-term goals. Prepares data packets for leadership & executive meetings, including data related to formulating the annual budget. Responsible for accurate and timely reports to share with all levels of management including. Understand the business process and connect it with data. Will lead the building-wide data collection efforts for space utilization (Symphony).
- Provide ideas for systems improvements, process improvement, planning, testing, and platform changes.
- Create & Manage Newsletter in collaboration with Director to be shared with staff and stakeholders on a pre-determined basis. Responsible for the management of designated Sharepoint site.
- Works with local Managers to assist in developing programs, services, and initiatives to anticipate future customer needs, and build customer relationships.
- Performs duties in accordance with Penn Medicine and entity values, policies, and procedures.
- Other duties as assigned to support the unit, department, entity, and health system organization.
- H.S. Diploma/GED (Required)
- And 3+ years Relevant healthcare experience, prior management experience in a healthcare setting preferred. Degrees may be considered in lieu of total experience.
- Associate of Arts or Science (Preferred)
- Establishes positive relationships with internal and external stakeholders by treating them with respect and demonstrating timely responses to their concerns.
- Strong analytical and computing skills to resolve complex technical and administrative problems.
- Strong organizational skills are required.
- Strong oral and written communication skills and presentation skills necessary to interact diplomatically with diverse groups of people, exchange information, and produce written correspondence.
- Communicates the importance of patient satisfaction, and quality of care and champions successes and priorities for improving performance in meeting and exceeding patient and customer expectations.
- Knowledge of internal or external data marts; if the incumbent does not have the necessary training or certifications, will obtain within 6 months of starting.
