Administrative Assistant
TalentoHC has partnered with an industrial manufacturer who is seeking a professional and experienced administrative assistant to join our growing team in the South Florida Area.
This role involves supporting day-to-day office operations, ensuring efficient workflows, and assisting various departments as needed. The ideal candidate will excel in organization, possess excellent communication skills, and be able to multitask effectively in a fast-paced environment.
Responsibilities:
- Coordinate daily office activities and manage the front desk.
- Answer, screen, and forward incoming calls, and handle correspondence.
- Order and maintain inventory of office supplies.
- Schedule and organize meetings, conferences, and team events.
- Manage calendars, arrange travel, and process reimbursements.
- Prepare and edit correspondence, reports, and presentations.
- Maintain and organize digital and physical files and records.
- Assist with data entry, billing, and expense reporting.
- Support HR and finance tasks, including onboarding, payroll processing, and maintaining records.
- Assist in various administrative tasks to support team members and management.
Qualifications:
- Proven experience as an administrative assistant, office assistant, or similar role.
- Bilingual (English/Spanish speaking and writing) computer literate, MS Office (Word, Excell, and Power Point), some QB knowledge or purchase orders software will help but not required,
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other standard office software.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and manage time effectively.
Education:
- High School diploma or equivalent; additional administrative or clerical training is a plus.
