Position Summary
The Client Billing Specialist will perform routine clerical tasks related to client billing. The position supports the Billing Manager and the processing of prebills and client billing, through various legal billing systems.
Qualifications, Knowledge, Skills and Abilities:
- Bachelor’s degree is preferred.
- Law firm & e-billing experience is required.
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy.
- Basic mathematical skills.
- Strong verbal communication skills.
- Proficient in Excel & Adobe.
Essential Duties and Responsibilities include, but are not limited to, the following:

- Assist with billing cycle, including generating and circulating prebills for legal services rendered, in accordance with client agreements and guidelines.
- Review and verify accuracy of bills and supporting documentation as required; ensure that invoices comply with Firm policies and client guidelines.
- Edit and revise prebills before submission.
- Upload invoices to various e-billing portals.
- Monitor all invoices in e-billing portals and track the approval process as required.
- Process appeals in e-billing portals as required.
- Follow-up with clients regarding past-due invoices.
- Research and respond to inquiries regarding billing issues and problems.
- Obtain necessary approvals for write-offs and adjustments.
Additional Responsibilities:
- Run client conflicts.
- Set up new client matters.
- Assist with attorney accounting inquires.
- Oversee monthly firm expenses and incorporate into client billing.
- Assist with entering attorney time.
- Assist with other billing and legal administrative tasks as assigned.

This job operates in a professional office environment, primarily in-office.
Essential Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate and exchange information so others will understand. This position requires prolonged periods working in a stationary position at a desk and on a computer. This position requires the ability to move about the office, use office machinery and occasionally move files up to 15 pounds.
Expected Work Hours
Usual and customary days and hours of work are Monday through Friday, between 9:00 a.m. to 6:00 p.m., but may vary depending on business needs and requirements of this professional role.
Travel
No travel is expected.
