We are seeking a detail-oriented and proactive Administrative Assistant to join ORIONYX ENGINEERING LTD. In this role, you will provide vital support to various departments, ensuring smooth operations and effective communication across teams. Your organizational skills and ability to manage multiple tasks will be crucial in helping the firm meet its goals and maintain high levels of efficiency.
Key Responsibilities:
- Office Management:
- Oversee daily office operations, including managing office supplies, equipment, and maintenance requests.
- Ensure a clean and organized office environment conducive to productivity.
- Administrative Support:
- Provide administrative support to engineering teams, project managers, and executives, including scheduling meetings, managing calendars, and organizing travel arrangements.
- Prepare and format documents, presentations, and reports for internal and external communication.
- Communication:
- Serve as the primary point of contact for internal and external inquiries, directing them to the appropriate departments or individuals.
- Draft and distribute correspondence, including emails, memos, and meeting minutes.
- Project Coordination:
- Assist in the coordination of engineering projects by tracking timelines, deliverables, and deadlines.
- Maintain project documentation, ensuring all records are up to date and accessible.
- Data Management:
- Manage databases and filing systems, ensuring accurate data entry and retrieval.
- Generate reports and summaries from databases for project tracking and decision-making.
- Meeting and Event Coordination:
- Organize and coordinate company meetings, workshops, and events, including logistics, catering, and materials preparation.
- Prepare meeting agendas and ensure that necessary resources are available.
- Financial Support:
- Assist with basic financial tasks, such as processing invoices, expense reports, and budgeting documentation.
- Help maintain accurate financial records and coordinate with the finance department as needed.
- Client Interaction:
- Provide excellent customer service by greeting visitors, answering phone calls, and addressing inquiries.
- Assist in maintaining positive relationships with clients, subcontractors, and suppliers.
- Confidentiality and Compliance:
- Handle sensitive information with discretion and maintain confidentiality in accordance with company policies.
- Ensure compliance with company procedures and regulatory requirements.
- Continuous Improvement:
- Identify opportunities for process improvement and contribute to the development of more efficient administrative practices.
- Stay updated on best practices and technology tools that enhance administrative functions.
- High school diploma or equivalent; associates or bachelors degree preferred.
- Proven experience as an administrative assistant or in a similar role, ideally within an engineering or technical environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills, with a customer-focused attitude.
- Experience with document management systems and database software.
- Basic understanding of engineering terminology and project management processes.
- Certification in administrative support or office management (e.g., CAP, PMP) is a plus.
Pay: From $22.50 - $27.50 per hour
Schedule: Monday to Friday (8 hours daily)
Expected hours: 40 per week
