Property Coordinator – Residential Property Management Schedule: 32–40 hours per week, Monday–Friday, 9:00 AM–5:30 PM Compensation: Competitive hourly (DOE) Reports To: Property Management Division Manager About Us We’re a locally owned residential property management company serving the JBLM and South Sound areas. Our team manages single‑family rentals and focuses on structured processes, transparent communication, and exceptional client service. Position Overview The Property Coordinator is the operational hub of our Property Management Division. You’ll field tenant and owner questions, coordinate maintenance, support leasing activity, and ensure documentation is complete and compliant. This role requires calm under pressure, quick decision‑making, and strong communication. You’ll often manage several open issues at once, and success depends on consistent follow‑through. What Success Looks Like in the First 90 Days Responds to tenant and owner inquiries the same business day Independently triages maintenance issues and assigns vendors Uses AppFolio confidently for work orders, tasks, and communication logs Maintains leases, inspections, and records with full accuracy Demonstrates sound judgment when choosing solutions and next steps Key Responsibilities Serve as the main point of contact for tenants, property owners, and vendors Respond to inquiries and maintenance requests promptly and professionally Coordinate and conduct in‑person and virtual rental showings Schedule and coordinate move‑ins, move‑outs, and inspections Receive, prioritize, and track maintenance requests in AppFolio Assign work orders, follow up with vendors, and ensure completion timelines are met Communicate status updates clearly and consistently with tenants and owners Review vendor invoices for accuracy and forward to accounting for billing Maintain accurate property records, leases, and documentation Support the accounting team with reporting and reconciliations as needed Participate in a rotating on‑call weekend schedule (about once every 3 weeks); call volume is typically very low, and most issues are handled by dispatching the appropriate vendor. Would not start until after your first full year in role. Respond to maintenance requests within 24 hours Complete 95 percent of work orders within 10 business days Maintain 100 percent accuracy on lease and inspection documentation Support 90 percent or higher tenant satisfaction ratings Ensure timely, accurate communication logs in AppFolio Required Qualifications 2 or more years in property management, leasing, customer service, or administrative coordination Strong organization, multitasking, and communication skills Ability to assess situations, identify solutions, and make timely decisions Excellent attention to detail and follow‑through Proficient with Microsoft Office and comfortable with technology Ability to manage multiple competing priorities in a fast‑paced environment Preferred Qualifications Experience with AppFolio or similar property management software Familiarity with Washington landlord‑tenant laws Experience coordinating maintenance or vendor communication Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Stand and walk for extended or continuous periods of time Ascend and descend staircases, ladders, and/or step stools Travel between buildings in varying outdoor weather conditions Remain in a stationary position (sit or stand) for approximately 75% of the time Regularly operate office machinery such as computers, phones, and copiers Travel up to 25% of the time (frequency and duration may vary – 10 mile radius) Occasionally exert up to 25 pounds of force, and/or up to 25 pounds frequently, and/or up to 25 pounds constantly to lift, carry, push, pull, or move objects A Washington Real Estate Broker License is not required to start. However, it must be obtained after the first 6 months and within 12 months of hire. The license is required for long‑term growth in the role and for expanded responsibilities.
