Summary
This position is responsible for the full lifecycle management of ICEP and ITLS educational programming and meetings. This includes budget oversight, volunteer management, strategic planning, content development, logistical coordination, marketing, and evaluation of all in-person, virtual, and hybrid events. This position will collaborate closely with the meetings & education team, subject matter experts, the Executive Director, and other stakeholders to ensure the delivery of high-quality, relevant, and engaging experiences.

The ideal candidate is ready to tackle new challenges, highly detail-oriented, thrives in a collaborative work environment, and is comfortable interfacing with a diverse community of members, volunteers, vendors, and other key stakeholders. Comfortable challenging the status quo, effectively communicating the need for innovation, and collaboratively implementing solutions that enhance member engagement and program outcomes.

Based on the duties described below, this is a full-time, exempt, hybrid position.

Duties, responsibilities, and special projects may include but are not limited to the following:

Meetings/Events

  • Coordinate, communicate, and collaborate with facilities to organize room arrangements, AV, food and beverage, speakers, and staff.
  • Manage all aspects of conference planning including pre-activity, onsite, and post-event management.
  • Oversee relations with speakers including communication, renumeration, accommodations, and related initiatives.
  • Collaborate with the Executive Director in selection of annual ITLS conference site and hotel venue, including site visits and hotel contract negotiation.
  • Coordinate onsite staffing schedules and responsibilities for meetings and educational programs in accordance with the Executive Director.
  • Lead the meetings & education team and oversee conference exhibits/sponsorship for all meetings.

Education

  • Oversee the development, implementation, and expansion of educational programs and products.
  • Facilitate analysis of educational needs of market segments and recommend potential avenues for product development/expansion via a diverse range of delivery modalities.
  • Identify, develop, and maintain partnerships and collaborations with outside organizations/individuals.
  • Serve as Staff Liaison to the ICEP Education Committee, ICEP Research Committee, ITLS Conference Planning Committee, and ITLS Conference Competition Committee.
  • Lead the meetings & education team in all continuing education application processes including CME, CEH, and CNE and maintain reaccreditation with CAPCE.
  • Collaborate in the development and implementation of evaluation mechanisms for all educational programs.

General/Administrative

  • Develop and manage meetings and education budgets, ensuring cost-effectiveness and adherence to financial targets in collaboration with the Executive Director and meetings & education team.
  • Orchestrates the development and implementation of the annual program planning calendar.
  • Stay current on industry trends, best practices, and emerging technologies in medical education and event management.
  • Develop procedures manual for all responsibilities of this position.
  • Serve as backup for registration system (i.e., CVENT) and Bookstore, or other tasks as needed.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • Extraordinary attention to detail, organizational, and time management skills-able to manage multiple tasks in a deadline-driven environment.
  • Excellent written and oral communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Adaptable to quickly changing schedules and priorities.
  • Experience collaborating with volunteer leaders and groups such as committees.
  • Familiarity with accreditation processes for continuing education credits such as CME, CAPCE, and related (preferred).
  • Proficiency in Microsoft Office.
  • Be familiar with working with technology and databases, such as customer relationship / association management systems (CRM / AMS) and learning management systems (LMS), registration software (i.e., CVENT), or related technologies.

Education and Experience:

  • Bachelor's degree in education, communications, event management, or a related field OR an equivalent combination of education and experience in associations, nonprofits, or medical/healthcare organizations.
  • Minimum of 3-5 years of experience in meeting planning, educational program development, or a related role.
  • CEM, CMP, or CAE designation, or working towards a CEM, CMP, or CAE, a plus, but not required.
  • Ability to effectively interact and collaborate with volunteer leaders.

Travel: up to 25% including domestic, international, and within Illinois for annual conferences, programs, and courses.

Work Environment:

  • ICEP offers a flexible and hybrid work environment with 2 to 3 days of time in our Downers Grove, Illinois office per week and the rest remote.
  • Candidate must be local within 50 miles of Downers Grove, Illinois.
