Intake and Discharge Specialist

The Intake and Discharge Specialist (Bilingual English/Spanish) coordinates the admission and discharge of children in and out of Deployed Services custody. They collaborate closely with case managers, youth care workers, and various departments to ensure a smooth, safe transition process that prioritizes children's best interest and strictly adheres to the Office of Refugee Resettlement's (ORR) policies and procedures.
Essential Functions:
Intake Responsibilities:
- Welcoming and greeting new arrivals
- Collaborating with case management and medical staff to streamline the admission process
- Conducting facility orientation for children
- Completing or uploading required admission paperwork
- Conducting property inventory
- Identifying the resident's spoken language and any special dietary or religious needs
- Collecting documents that children bring with them and safely maintaining them in the case file until discharge
- Ensuring the accuracy and completeness of collected information
- Admitting the child into required databases by entering demographic and relevant information, scanning, and uploading documents
- Completing and securing an inventory of personal belongings/valuables
- Updating and maintaining electronic or paper records as needed
- Maintaining detailed records of all interactions and assessments during the intake process
- Assisting with the coordination of required legal services
- Assisting with line-of-sight supervision, as needed
- Performing other duties as assigned
- Collaborate with all departments to develop a discharge plan for children leaving the facility, which may involve reunification with their biological families and others
- Facilitate the safe and timely discharge of children from the facility
- Maintain detailed records of all interactions and assessments during the discharge process.
- Complete discharge inventory
- Collect the required documents for the discharge packet
- Finalizing essential discharge documentation
- Supporting onsite unification efforts
- Updating children's status in internal and ORR systems.
- Ensuring accurate release documentation
- Handing over stored property to children
- Confirming transportation arrangements
- Supplying necessary items like meals and medication
- Aiding in the preparation of discharge packets with documentation
- Conducting exit orientations.
- Maintain detailed records of all interactions and assessments during the discharge process.
- Complete discharge inventory
- Collect the required documents for the discharge packet
- Assist with line-of-sight supervision, as needed
- Other duties as assigned
- Intermediate level or above proficiency in MS Word, MS Excel, and MS Outlook (proficiency in SharePoint desired)
- Knowledge of relevant state and federal regulations and child welfare laws
- Strong communication and interpersonal skills
- Excellent organizational skills and attention to detail
- Ability to handle sensitive and confidential information with discretion
- Must be able to speak, read, and write in English and Spanish
- Ability to work flexible hours in a 24/7/365 business environment
- High School Diploma or equivalent
- Office of Refugee Resettlement (ORR) experience is highly preferred.
- Must be authorized to work in the U.S.
- Experience working with immigrant populations and child welfare,
- Ability to work with all levels of staff and develop cross-functional relationships
- Must be able to travel within the Continental United States (CONUS)
- Must pass a motor vehicle record check and employer and government (eQIP and eAPP) background checks after accepting a conditional offer of employment
- Fully vetted background status (investigation and adjudication) through federal government eQIP or eAPP process, to include:
- Valid ORR Tier Two adjudication;
- Childcare adjudication; AND
- Child Abuse and Neglect (CA/N) check clearance
Bonus available for immediate satisfaction of vetting qualification upon hire, subject to verification and payout after 30 continuous days of service
Relocation package available if qualified
