POSITION SUMMARY


As the Procurement and Logistics Coordinator, you will be responsible for managing the entire product procurement and inventory cycle with a focus on Layer 9’s technical products and solutions. You will maintain vendor relationships, manage internal inventory, and ensure efficient hardware and software orders. Your technical expertise will enable you to work closely with our IT team to understand product requirements, ensure technical compatibility, and maintain gross margin standards. This position requires a strong background in IT systems, attention to detail, and excellent organizational skills.


Roles and Responsibilities


Procurement & Vendor Management:

  • Maintain relationships with vendors to ensure competitive pricing and product availability.
  • Work with technical and strategy teams to build client quotes for new technology and project work.
  • Create and maintain a clean internal sales opportunity pipeline by working with the strategic team on quoting road mapped items.
  • Own and manage the internal sales request board and ensure sales requests are handled based on expected SLAs.
  • Work directly with the technical design teams to create a comprehensive client statement of work and internal project expectations.
  • Participate in the quote approval process for hardware and software acquisitions.
  • Work with vendors to understand pricing structures and rebates to maximize gross margin.
  • Manage the process of ordering hardware based on designated timelines and upcoming project requirements.
  • Manage upcoming licensing renewals, ensuring timely and accurate execution.
  • Audit vendor invoices and provide them to the Finance Team for approval and payment.
  • Provide regular staff updates on standard hardware and software options.
  • Manage internal vendor certification and designation requirements.

Inventory Management

  • Oversee Layer 9’s internal inventory on a quarterly basis, ensuring accuracy and availability.
  • Conduct field technician bin inventory counts monthly, ensuring up-to-date records and proper storage.
  • Maintain inventory labeling and organization, ensuring products are clearly marked and stored in the appropriate locations.
  •  Manage and maintain inventory software systems.
  • Coordinate the pick and ship process for hardware, ensuring timely fulfillment of customer and internal orders.
  •  Receive and label products, placing them in designated areas for pick-up and distribution.
  •  Provide detailed inventory reports to the Finance Admin to ensure accurate financial tracking.
  • Track and document hardware detail in inventory systems.

 

Administrative Support

  • Assist with phone triage, ensuring incoming calls are directed to the appropriate teams.
  • Manage internal and office supply orders, ensuring the office remains stocked.
  •  Successfully pass a background check.
  • Basic technical knowledge of IT systems
  • All other tasks assigned by the Leadership team

   

Qualifications

  • At least 2 years of experience in procurement, inventory management, or a similar technical role, preferably within IT or technology-related industries.
  • Technical background with experience in managing IT hardware and software procurement processes.
  • Familiarity with IT systems, network equipment, software licensing, and other technical products relevant to Layer 9’s offerings.
  • Proficiency in inventory management software and basic office applications (e.g., Microsoft Office Suite).
  • Strong organizational skills, with the ability to manage technical products and ensure compliance with vendor and company standards.
  • Ability to communicate technical specifications with vendors and internal teams.
