Position Summary The Sr. Facilities Specialist for the James H. Clark Center oversees all building operations, maintenance, and safety functions for a complex research facility. Responsibilities include managing facility systems, coordinating repairs and renovations, ensuring safety and compliance, overseeing space planning, access control, and mail services. The role works independently and collaborates with university partners and vendors to support the university’s research mission. Core Duties Serve as point of contact for facility issues; initiate work requests, monitor completion, manage maintenance & renovation budgets, and oversee routine services. Perform condition assessments, analyze results, establish preventive maintenance plans, coordinate utility optimization, and manage contracts with third‑party vendors. Handle property administration including tagging, data entry, inventory, purchase orders, and record keeping. Implement security programs: develop procedures, distribute keys, monitor access records, assess infrastructure needs, and adjust access schedules. Coordinate project tasks: schedule, budget, and oversee small local projects. Serve as safety management coordinator: correct safety issues, perform root‑cause analysis, track corrective actions, manage chemical inventory and hazardous waste, develop safety training, and maintain emergency preparedness. Coordinate communications services: network, desktop support, telephony liaison, building notifications. Coordinate space management: analyze moves, space inventory, allocation tracking, maximizing utilization, and support capital planning. May supervise assigned staff engaged in supporting the physical environment and building systems. Minimum Requirements Education & Experience Bachelor’s degree in the life sciences and five years related, demonstrated technical facilities management experience, or equivalent combination of education and experience. Knowledge, Skills, and Abilities Analytical skills to assess complex space, equipment, and financial data. Interpersonal skills and mature judgment for effective interaction with faculty and vendors. Ability to coordinate and manage multiple projects with competing priorities, meeting deadlines. Working knowledge of Excel, Word, PowerPoint, Project. Experience contracting internal and external vendors and services. Knowledge of safe handling and disposal of chemicals and hazardous waste, emergency preparedness. Certifications and Licenses Valid California non‑commercial Class C driver’s license, if applicable. Physical Requirements Frequently stand/walk, seated, perform desk‑based computer tasks. Occasionally climb, twist/bend, reach/work above shoulders, lift objects up to 20 pounds. Rarely kneel/crawl, lift objects >40 pounds. Ability to drive day or night, if applicable. University will provide reasonable accommodation for disabilities. Working Conditions Requires 24‑hour response availability seven days per week for emergency situations.
