The Client Success Coordinator will engage in high volume phone inquiries and face-to-face interactions with potential and/or current patients from initial inquiry to follow-up. This role also includes administrative tasks and office coordination as needed by the practice manager. The Coordinator is responsible for managing patient inquiries, scheduling consultations, and follow-ups, educating patients on proposed treatment care plans including payment options, tracking patient scheduling across multiple providers, processing payments for treatments and products, and working with physicians and the practice manager to establish and achieve goals. Clinic hours vary and are between 7:00 am and 7:00 pm Monday through Friday, including weekends. Responsibilities Answer new patient email/text leads, existing client emails, and website inquiries for bookings and sales.Book clients and handle transactions using medical software program.Have knowledge of all procedures offered and be able to answer client questions accordingly.Review and ensure full schedules for MDs, PAs, NPs, RNs, LVNs and estheticians, filling cancellation spots to maximize the schedule.Retain patients by recommending other services such as non‑surgical treatments, skin care consultation or laser services.Provide administrative support to practice managers and physicians.Maintain complete confidentiality in all guest matters in accordance with company policy.Attend seminars to keep informed and updated in plastic surgery and med spa services. Requirements Proven experience as a medical receptionist in a plastic surgery or med‑spa office.Strong customer service skills with a focus on patient satisfaction.Excellent time management abilities to handle multiple tasks efficiently.Familiarity with Google Suite and other office software is preferred.Patient Now experience recommended.Bilingual candidates are encouraged to apply for enhanced communication with diverse patients.Must be willing to work at both Palo Alto and Los Gatos locations.Saturdays are mandatory. L&P Aesthetics continues to follow all CA state public health orders and policies regarding COVID‑19.
