Senior Administrative Specialist – Town Clerk Office The Town of Concord seeks a courteous, resourceful, and energetic person to support the administration of vital records, licenses, permits, voter registration, census, elections, customer service, and other responsibilities of the Town Clerk’s Office. Starting salary range: $29.52/hr – $35.28/hr, based on qualifications. This is a full‑time, on‑site position with a complete benefits package. Responsibilities Administer vital records under the direction of the Assistant Town Clerk, including processing, reviewing, verifying, and maintaining records for births, deaths, and marriages. Issue a variety of state and town licenses, certificates, permits, and deeds (dog licenses, kennel licenses, business certificates, raffle permits, vital records, flammable storage registrations, cemetery deeds, and White Pond parking permits). Maintain divisional records and databases (Board of Appeals, Planning Board, Historic Districts Commission filings). Act as a point of contact for public inquiries in person, by telephone, and by email; provide information about municipal operations and answer questions about procedural requirements for licenses, permits, and other official documents. Assist with voter and resident information management, including updating annual census returns, filing voter registration cards, and providing election assistance. Serve as Notary Public and Commissioner to Qualify. Record and process funds received from municipal operations and perform cash‑out at the end of each business day. Assist the Town Clerk in applying Town Meeting procedures and attend town meetings to support election and census tasks. Perform special projects and related duties as requested and directed. Qualifications Associate’s degree or two‑year college certificate plus two or more years of administrative experience, preferably in a municipal setting. Notary Public appointment and Commission to Qualify designation (within 3 months of hire). Excellent interpersonal, verbal, and written communication skills; ability to work with the public in a courteous and tactful manner. High level of discretion when working with confidential records. Proficient knowledge of office procedures, bookkeeping techniques, and municipal government operations. Ability to prioritize multiple tasks, handle interruptions, and develop appropriate recommendations. EEO Statement The Town of Concord, MA is an EEO Employer.
