ORGANIZATION OVERVIEW

National Sorghum Producers (NSP) is the national commodity association for the sorghum industry and represents U.S. sorghum farmers nationwide. The member-focused organization serves as the voice of the sorghum industry and works through education, legislative and regulatory issues to lead positive change for sorghum farmers. NSP is headquartered in Lubbock, Texas, with members in 30 states and affiliate organizations in seven states throughout the U.S.


GENERAL RESPONSIBILITIES

The general responsibility of the Director of Operations is to represent the organization in a productive, positive and confident manner as an active member of Team Sorghum, providing support to all entities of the organization. The Director of Operations manages, all operations of the National Sorghum Producers on behalf of the Chief Executive Officer (CEO). The Director of Operations reports to the CEO, who performs personnel reviews and determines salary administration for this position. 


SPECIFIC RESPONSIBILITIES


BUSINESS ADMINISTRATION

  • Assist in the management of day-to-day operations, including accounting and budget management
  • Oversee travel arrangements, ensuing cost-effective and efficient travel plans for executives
  • Leads operations meetings with team
  • Support human resource processes, including onboarding, records management, policy implementation and payroll processing
  • Maintain organized records and ensure compliance with company policies and procedures
  • Assist with office management tasks as needed, ensuring smooth operation of day-to-day activities


CEO – EXECUTIVE ASSISTANCE

  • Keeps CEO apprised of critical issues
  • Maintains CEO calendar/schedule and associated documents
  • Advises on topics pertinent to staff meetings
  • Schedules travel, maintains itineraries and assists the CEO 


NSP BOARD OF DIRECTORS SUPPORT

  • Liaison to Board of Directors, serves as appointed Secretary to the Board
  • Attends all Board meetings 
  • Organizes and facilitates all details pertinent to Board meetings and Board conference calls
  • Maintains Board records (including, but not limited to, bylaws, contracts, strategic plans, minutes, schedules, elections, database information)
  • Assists Nomination Committee in the Board nomination process
  • Facilitates Board member travel to meetings and events


EVENT/MEETING PLANNING

  • Event planning for the following, but not limited to, all NSP board, committee, and strategy meetings; SICNA biennial conference; PAC board meetings and Legislative Committee meetings
  • Event planning duties include determining and negotiating venues, meeting space and lodging; planning food, beverage and audio-visual needs; coordinating reservations; communicating with attendees; scheduling off-site meals/tours; coordinating travel; monitoring costs; coordinating transportation; overseeing registration process; overseeing expense distribution; acting as on-site contact; responding to deadlines as stipulated in contracts


BUDGET & FINANCIAL

  • Oversees NSP E-member and membership projections
  • Maintains NSP/USCP financial references spreadsheet used for event planning
  • Reviews NSP expense disbursements
  • Reviews and sign NSP bank reconciliations
  • Monitors accounts receivable with Accounting, Operations and Industry Partner team


PERSONNEL

  • Hires, supervises, and terminates support staff 
  • Ensures staff timesheet compliance
  • Maintains Non-Disclosure Agreements


OTHER

  • Support staff
  • Facilitates and leads staff in overall database management and organization records management policy
  • Fulfills other assignments as delegated by CEO


REQUIRED QUALIFICATIONS

  • 8 years work experience in relevant field
  • Proven experience in operations or administration
  • Detailed oriented; strong organizational skills
  • Proficient in a computerized work environment that utilizes Google Docs, Microsoft Word, Microsoft Excel and Adobe Acrobat.
  • Customer service oriented for both internal and external customers
  • Excellent judgment and creative problem-solving skills
  • Event planning experience
  • Superior management skills; ability to work with peers
  • Self-reliant and results oriented
  • High proficiency in written and verbal communications


PREFERRED QUALIFICATIONS

  • Familiarity with Google Workspace a plus but not required
  • Agriculture background
  • Bachelor’s Degree  


LANGUAGE SKILLS

The individual must have the ability to effectively present information and respond to questions from groups of producers, organizational boards, industry representatives and the general public.  Specific language skills may be needed and shall be documented.
