REPORTS TO: School Principal and/or other building Administrators
START DATE OF POSITION: August 1, 2024
The Principal Secretary performs a wide variety of secretarial and administrative duties to assist and support the office of the school principal and to respond to the various needs and requests of students, parents and school personnel.
Responsibilities include but not limited to:
- Performing the major clerical functions of the principal's office; types correspondence and required reports; screens incoming phone calls, greets visitors, arranges meetings.
- Responding to various students, parents and teachers inquiries and provides information and assistance necessary to meet their needs.
- Performing various tasks associated with financial matters of the district, such as preparing the school budget; payroll, Time and Effort, billing, collection, disbursement and/or deposit of monies; maintaining required records.
- Developing and maintaining schedules; makes and/or coordinates arrangements and performs administrative functions necessary to support school functions and/or special events.
- Gathers and/or tracks information necessary to prepare and submit various reports.
- Performs data entry as required.
- Initiating purchase orders as may be required for supplies and equipment or for special functions for the school, place orders for supplies.
- Assists staff as necessary to cover for absences, securing substitutes and school business forms.
- Manages clerical staff.
- Coordinate, supervise, assist with registration, graduation, field trips and other special projects as requested from the Principal or other building Administrators.
- Performs other non specific duties as assigned by the Principal or other building Administrators.
Qualification Requirements
Knowledge: Administrative secretarial practices, the operation of computers, office equipment (copiers, scanners & fax), multi phone lines, intercom systems. Working knowledge of Google apps, Gmail, Excel and Word and other related, often highly specialized software requiring some advanced skills knowledge.
Experience: 3+ years clerical experience in a school or office setting preferred.

- Outstanding organizational skills, ability to multi-task, prioritize projects/responsibilities.
- Outstanding interpersonal skills, has the ability to effectively communicate with individuals on any level.
- Proficient skills in Microsoft Word, Excel, and Powerpoint.
- High School Diploma or equivalent.
- Previous experience with Business Plus, SIS, Infinite Campus, Frontline (Absence Management) and Assure Force a plus.
Physical/Visual Activities or Demands: Physical/visual activities or demands that are commonly associated with the performance of the functions of this job.
- Sitting, walking, standing, talking, hearing, stooping or crouching to access file drawers.
- Normal mental attention with clarity of vision at 20 inches or less as well as 20 feet or more required.
- Nominal physical effort required, ranging from moving very light (1 to 5 lbs.) items by hand to rarely moving light to average (5 to 60 lbs.) boxes of paper and other supplies with assistance.
Environmental/Atmospheric Conditions: Environmental and atmospheric conditions commonly associated with the performance of the functions of this job.
Normal office conditions.
