Primary Purpose:

Work under minimal supervision to provide advanced clerical services to senior level administrators (Chief Human Resources Officer). Handle confidential information and engage in frequent contact with all levels of district employees, board members, and the general public.

Qualifications

College Degree

High school diploma or GED

Special Knowledge/Skills
  • Knowledge of school district organization, operations, and administrative policies.
  • Ability to read and comprehend instructions, short correspondence, and memos.
  • Ability to handle detailed instructions, manage complex communications, organize and manage files and documentation.
  • Ability to make independent decisions regarding planning, organizing, and scheduling.
  • Excellent public relations, organization, communication, and interpersonal skills.
  • Highly skilled in Microsoft applications including but not limited to Excel.
  • Ability to multi-task numerous complex administrative activities.

Experience

Five years or more advanced secretarial experience with extensive contact with the public.

Major Responsibilities and Duties

Records, Reports, and Correspondence
  1. Serve Superintendent & Deputy Superintendent
  2. Organize, plan, schedule, and coordinate Central Office and District-wide tasks
  3. Handle correspondence, telephone calls, interaction with public and staff, and coordinate with other Central Office Departments
  4. Comply with Board Policies and state and federal regulations
  5. Attend Board and other administrative, staff, and public meetings
  6. Prepare purchase orders and payment authorizations
  7. Compile pertinent data and prepare required reports and minutes
  8. Maintain and file relevant record
  9. Respond to public and employees
  10. Maintain confidentiality


Reception and Phones

11. Answer incoming calls and greet visitors.

12. Respond to routine inquiries from the public, board members, and staff and refer appropriate inquiries or problems to superintendent or other administrators.

13. Schedule appointments and maintain deputy superintendent's calendar.

  • Tools/Equipment Used: Standard office equipment including personal computer and peripherals
  • Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
