The University of Miami is currently seeking a Sr. Clinical Program Coordinator to work at Sylvester Cancer Center in Miami. The incumbent acts as a lead in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Moreover, this employee provides a broader oversight to daily program activities in support of the University's mission. The Sr. Clinical Program Coordinator evaluates the financial performance of programs to meet departmental goals and assist in the development of short- and long-range budgetary planning.

CORE JOB FUCNTIONS
  • Supervises, directs, and coordinates assignments for the given program.
  • Trains, develops, and empowers staff to effectively perform their jobs.
  • Evaluates program effectiveness, analyzes results, and recommends appropriate action.
  • Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.
  • Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.
  • Oversees various personnel actions, including but not limited to, hiring, performance appraisals, disciplinary actions, termination, employee time records, and other related activities.
  • Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.
  • Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.
  • Prepares and presents periodic reports, financial statements, and records for management or outside agencies.
  • Makes suggestions to leadership including the on process changes that will improve overall performance.
  • Maintains required records and reports statistics for administrative, quality assurance, and safety and control purposes.
  • Maintains patient confidentiality as well as the confidentiality of hospital business information.
  • Oversees the maintenance of established supply levels in unit and supply rooms.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

Clinical Duties
  • Assists Cancer Survivorship Nurse Practitioner(s) with identifying patients for Survivorship Care Plan (SCP)delivery and visit.
  • Assist in coordinating care for cancer survivors to support services or any additional referrals needed.
  • Assists with scheduling follow-up appointments and consults, ensuring patient has appropriate information, and provides patients with directions to the areas involved or for a telemedicine visit.
  • Collaborate with nurse navigators and other staff members on patients requiring transition to cancer survivorship.
  • Triage patient phone calls to appropriate provider(s)/service(s). Review with Cancer Survivorship Team Log of deliveries on a weekly basis and FYI list.
  • Cross covers or provides cross coverage for the Lung Cancer Screening and Nutrition scheduling and follow-up work.

Clerical Duties
  • Answers telephone promptly and courteously using proper telephone etiquette and routes calls and messages appropriately.
  • Sort and distribute incoming faxes, phone messages and mail to appropriate staff.
  • Report and coordinate necessary maintenance of office equipment (i.e. Fax machine, copier, telephone).
  • Performs clerical duties, including but not limited to faxing, copying, and scheduling of internal/external meetings, mailing, and typing/developing any essential material.
  • Coordinates, retrieves, and communicates schedules for the next day with applicable parties.
  • Plan and organize Cancer Survivorship meeting(s) and logistics related (i.e location, IT, and room arrangements).
  • Maintains and take minutes for all related Cancer Survivorship Committee meetings.
  • Prepares reports for Cancer Committee meetings Assist with data/reports for Nutrition and Lung Cancer Screening appointments.
  • Maintains and stores cancer survivorship patient documents and assure updates are done periodically.
  • Organizes and plans cancer survivorship workshops and assist with cancer survivorship events.
  • Efficiently use available resources to accurately and efficiently assist patient, staff and physicians in a timely manner.
  • Maintain an organized and clean work area that is stocked with appropriate supplies.
  • Maintain par level of supplies as needed by office staff/employees Demonstrates proficient time management and the ability to perform multiple tasks at one time.
