Open Enrollment Program Assistant

The Open Enrollment Program Assistant plays a vital role in the successful delivery of GSUSA's open enrollment training program. The Program Assistant coordinates logistics and performs administrative tasks to support the execution and delivery of virtual and in-person training classes. In addition, the Program Assistant provides customer service and support to faculty and students. This position reports to the OSD Program Manager for Open Enrollment Training and has no direct reports.

Responsibilities:

* Take full responsibility for customer satisfaction by ensuring effective coordination of all aspects of training delivery.
* Prepare and disseminate instructor and participant course notifications.
* Confirm instructors for training sessions and provide administrative support.
* Set-up classrooms and A/V equipment.
* Provide instructors with technical support and troubleshoot issues with video conference software, such as Zoom and Microsoft Teams.
* Order and secure course materials, training tools and supplies.
* Prepare and process travel authorization and expense reimbursement forms.
* Process student attendance sheets and issue course certificates.
* Provide exceptional customer service and support to students and faculty
* Accommodate and assist customers with special needs.
* Confirm instructors' completion of training assignments.
* Ensure compliance with fire safety regulations and emergency guidelines.
* Perform other duties as assigned.

Knowledge, Skills, & Abilities:

* Organized self-starter and motivated learner with strong attention to detail.
* Strong verbal and written interpersonal skills and ability to learn a variety of systems and databases
* Ability to work in a deadline-driven environment, handling multiple tasks while maintaining quality
* Ability to adapt to constantly changing priorities
* Proficient with virtual meeting technology (MS Teams and Zoom) and MS Office Suite (Outlook, Word, Excel, SharePoint)

Education/Requirements:

* Associates degree or higher
* Three years' experience in sales, hospitality, event planning, or a customer service environment.
