About the Job - Your Role
As an Office Specialist in the Superintendent's Office, you will provide confidential, clerical support to the Supervising Executive Assistant as well as essential support services to the Superintendent's Office. This position is responsible for general office support functions including word processing, data entry of confidential information, preparing correspondence, memorandums, and reports. This includes relaying messages, filing, and providing clerical/research assistance with various forms of communications or requests from adults in custody, staff, public officials, and the general public.
This position is represented by American Federation of State, County, and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.
Minimum Qualifications:
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents.
OR
An associate degree in any field.
OR
An equivalent combination of education and experience.
Requested Skills:
* Experience with programs such as Microsoft Word, PowerPoint, Publisher, Outlook, and Adobe Pro;
* Experience with Excel spreadsheets including formulas and dashboards;
* Experience with Microsoft Outlook including managing calendars, scheduling appointments, meetings, and conferences;
* Importing/exporting media;
* Answering multi-line telephone system and screening incoming telephone calls;
* Preparing a variety of reports, memos, different types of correspondence (proofreads documents for general clarity, punctuation, grammar, spelling, capitalization and typographical errors);
* Strong communication skills (verbal and written);
* Organizing, prioritizing, attention to detail;
* Experience meeting deadlines;
* Ability to work in a fast-paced or high-pressure work environment;
* Experience working within a team.
Preferred Skills:
* Experience with AS400 system;
* Experience with AFAMIS system;
* Experience working in a law enforcement or correctional environment;
* Certified in LEDS (Law Enforcement Data System).

Working Conditions:
Work is performed in a prison housing maximum, close, medium, and minimum-security adults in custody (AICs). There is an inherent responsibility to provide assistance through recall and/or reassignment during adult in custody unrest and other emergency situations occurring at the institution.
Duties may involve standing or sitting for long periods of time. Carrying and/or pulling heavy loads, bags, packages, and files to and from various workstations may be required.
All employees are required to use a computer for electronic mail and related AIC work systems in the regular performance of their duties. Operation of a computer is necessary in completing a majority of job assignments within this position.
Work schedule is driven by institution need in providing support services to respective sections, in accommodating requirements of Section 41, Article 1 of the Oregon State Constitution (previously known as Ballot Measure 17), and in accommodating scheduling requirements of Parole Board and Courts. Work schedules are assigned by management as per the Collective Bargaining Agreement.
This position functions under considerable pressure through changing deadlines, detailed tracking, and constant interruptions. The incumbent must be flexible in completing job duties at a variety of work stations, be flexible in providing coverage for other OS2s within this section who need assistance and be flexible in working within the guidelines provided by more than one direct supervisor.
All employees shall be expected to interact with co-workers, AICs and the public in a professional, respectful manner. This includes refraining from any type of behavior, action or language that could be perceived as hostile, discriminatory, intimidating, violent or abusive.
Office Specialist 2's are hired to the classification and are subject to being moved to other Office Specialist 2 work assignments within the institution to meet the operational needs of the agency.

Requirements for Employment
The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.
