Position Description

Responsibilities:

  • Work as an Administrative assistant to support the Mobilization Department withday-to-day Mobilizationtasks.
  • Take calls, answer personnel questions, and provide department guidelines.
  • Write SOP, Briefings, Memos, policies, and procedures.
  • Save records in the designated approved systems and SharePoint.
  • Update Valiant Database and another system daily.
  • Assist team members within the same department and other departments as needed work assigned by the Mobilization Director.
  • Provide daily, weekly, monthly, and annual reports regarding personnel status.
  • Schedule meetings, conduct briefings, and receive/ mail correspondence.
  • Shipping mail, purchasing office supplies.
  • Submit the expense report using approval from the Valiant expense reporting system.
  • Allocate expenses to the correct project and program.
  • Review monthly invoices and reconcile credit card expenses.
  • Assist personnel with submitting their expense reports and timesheets during deployment and redeployment.
  • Save expense receipts and invoices in the designated expense files.
  • Arrange travel and hotel for personnel deploying and redeploying.

Position Requirements

  • Administrative Assistance or Clerical office skills.
  • Associate degree or two (2) years of related experience in a related field.
  • Microsoft Office Suite skills are a must.
  • Must be able to type 45-65 WPM.
  • Must be able to sit for 8 hours daily
  • Must be able to lift50LB.
  • Must have own transportation.
  • Must be able to work onsite; this position is not remote.
  • Excellent verbal and written communication skills are a must.

Preferred Requirements:

  • Experience with Contractor/Military deployment and redeployment
  • Experience in expense and credit card reconsolidation
  • Experience in Travel and hotel arrangement
