POSITION DESCRIPTION
POSITION TITLE: Secretary V
DIVISION: Administrative Services DEPARTMENT: Secondary Education (High School)
DAYS SCHEDULED: 230 Days Annualized
SALARY SCHEDULE: Classified Non-Exempt Range H -Starting Step 1 $20.28*
*Hourly rate is based on experience, education, and ability to speak multiple languages.
REPORTS TO:High School Principal
GENERAL DESCRIPTION
Assists and provides secretarial services with little direction to one, but possible more than one school administrator.
Prepares and maintains files, reports, and records of a complex nature involving administrative and confidential information for the senior high school.
Answers specific inquiries and informs the administrator in charge of all pertinent information as to the operation of the senior high school and/or division or department.
EXAMPLES OF DUTIES AND RESPONSIBILITIES
A. Types correspondence, form letters and other reports sometimes involving non-standardized data or information of a complex nature. Regularly composes letters of a standardized nature based on general instructions.
B. Takes and transcribes dictation of letters, reports and other material as required.
C. Prepares and maintains appropriate files and records of an administrative, confidential, and sometimes complex nature. Prepares reports from such records based on general administrative instructions.
D. Arranges appointments, makes reservations, takes calls, and answers inquiries. May frequently take notes during administrative meetings.
E. Provides additional clerical support to relieve key administrative personnel of minor administrative details.
F. May assume responsibility for assignment and review of work assigned to other office employees.
G. Performs other work as directed or required.
TRAINING, SKILLS, AND EXPERIENCE REQUIREMENTS
A. Training and experience should be the equivalent of that normally received by graduation from high school with proficiency in Microsoft Office products and secretarial experience.
B. Supervisory experience and college work considered desirable.
C. Ability to exercise good, sound judgment in making minor decisions with only general administrative instructions.
D. Must have considerable skill in typing, taking and transcribing dictation of both routine and complex nature, and in preparing records, reports, and other documents from available data.
E. Considerable knowledge of modern office practices, procedures and of business English, spelling, and related subjects.
F. Ability to establish and maintain effective working relationships with District personnel at all levels.
G. Ability to meet the public and other visitors to the district and/or schools and to create highly positive impressions in doing so.
H. Must be able to operate, photocopying machinery, computer keyboard, printer, calculator, telephone equipment, and other office machinery, and perform alphabetizing and filing tasks.
I. Must be able to type 40 words per minute with accuracy.
