The Senior Medical Scheduler at CASES will serve as a vital member of the Clinic department, ensuring smooth operations and efficient patient flow within our mental health and medical services. This position is responsible for coordinating and managing appointments for clinical staff, including social workers, psychiatrists, and nurse practitioners, and overseeing the timely scheduling of referrals and eligibility verifications in our electronic health record (EHR) system, CareLogic. The Senior Medical Scheduler will also supervise a team of medical scheduling staff, providing training, support, and day-to-day oversight to ensure high standards of service and productivity. Additionally, this role involves running essential reports on patient demographics, caseloads, and referral processes, while continuously striving to optimize clinic operations and meet performance goals. As a key representative of CASES, the Senior Medical Scheduler will uphold our commitment to trauma-informed, culturally competent care while ensuring a welcoming environment for all clients and their families.

Shift Hours: Monday - Friday from 9:00 AM - 5:00 PM.

Salary: The salary for this role is $30.77 hourly.

Location Address: 2090 Adam Clayton Powell Jr Boulevard, 4th Floor, New York, NY 10027. Our office is easily accessible by public transportation.

Workplace Flexibility: Onsite - For roles that are 100% in-office/in-person. Staff roles designated as fully in-person are eligible for in-person work place differential pay.

What you will be doing:
  • Ensure waiting area of clinic is presented as safe and welcome environment for clinic clients and family members/collaterals.
  • Responsible for the coordination of referrals as Point of Entry for services to the clinic into the EHR.
  • Ensure clients are connected to clinical and medical staff as quickly and efficiently as possible.
  • Perform centralized scheduling for all clinical staff ensuring up-to-date staff schedules are entered in the clinic EHR.
  • Achieve performance goals related to centralized scheduling to support staff productivity.
  • Verify eligibility and authorization for Medicaid services using EPACES and Managed Care Organization portals at every client visit.
  • Support all crisis intervention and emergency response situations to ensure health and safety and effective responses by internal and external first responders and adherence to crisis/emergency policies.
  • Supervise and provide support to medical scheduling staff and case manager which requires frequent direct day to day oversight on site.
  • Run reports various reports as it relates to demographics review, caseload review, referral reports, billing issues, and scheduling matters, or others as defined.
  • Train medical schedulers for satellite office. May cosupervise medical schedulers as well.

What We Are Looking For:
  • High school diploma with 5 years related work experience
  • At least one-year supervisory role
  • Previous Electronic Medical Record (EMR) and Medicaid billing experience; CareLogic EHR a plus
  • Knowledge of mental health and medical terminology
  • Exceptional communication and organizational skills, including excellent phone demeanor and direct communication skills with clients, family members, government agencies, and agency staff
  • Excellent diplomacy, poise, and social skills to interact with clients facing a range of problems including serious mental illness, substance abuse, arrest and incarceration, and crisis and stress
  • Ability to establish and maintain effective working relationships with clients, family members, referral sources, criminal justice staff, and CASES' employees
