RK&K is seeking a dynamic and motivated Project Assistant to work from our King of Prussia, PAoffice. In this role, you will support our Transportation Team leaders with various contract administration, project support and management support tasks for multiple clients, and on-call contracts. As needed, the individual may also support the team with communications and administrative needs. Essential Functions
  • Complete contract related client forms for staffing approvals, work order changes, subconsultant changes, etc.
  • Monitor the process for invoice production (by others) and track invoices through RK&K development and client review, approval, and payment
  • Direct staff as needed to complete progress reports for inclusion in RK&K invoices
  • Collect and review subcontractor invoices for inclusion in RK&K invoices (by others)
  • Coordinate entry of new projects and tasks into accounting system (Deltek) as required by the Project Manager
  • Enter and update budgets for new and existing projects and tasks in Deltek
  • Support our clients with dedicated administrative support of their key programs.
  • Follow up on outstanding information pertaining to the setup of new projects and tasks
  • Collect, scan and save all contracts, modifications, supplements, Notice to Proceeds, etc., for all active projects
  • Manage time and expense reporting for construction projects
  • Collect and update subcontracts and Certificates of Insurance for subcontractors
  • Organize special events for staff and coordinate professional society needs
  • Organize and track monthly project reviews to discuss budget, staffing and project progress
  • Perform administration functions for our PA offices

Required Education and Experience
  • A minimum of five (5) years' experience in Contract support and administrative assistance
  • Experience with document management related to legal contracts, etc.
  • Strong computer skills with an emphasis on Excel, Word and Outlook
  • Strong verbal and written communication skills
  • Detail oriented, able to keep multiple activities organized digitally, and willing to work collaboratively with others
  • Ability to work independently and in groups and to demonstrate good problem-solving skills is a must
  • General understanding of various types of government contracts and working knowledge of overhead rates is a plus

Preferred Skills and Experience
  • Deltek Vision experience
  • Basic understanding of legal contracts and accounting principles
