Overview

The Leave & Benefits Specialist will maintain and deliver upon a 'Best Place to Work' directive to all employees by providing day to day benefits and leave of absence administration for our Corporate Clubs and Corporate Headquarters populations. As our Leave & Benefits Specialist, you will perform a broad range of duties with discretion and on a professional level, working closely with the Manager, Benefits and Leave Administration in the following functional areas: benefits, leave of absence management, workers' compensation, disability administration, training, employee engagement, and compliance.

Responsibilities

Leave Administration

* Responsible for the administration of employee leave of absences, temporary disability leave, ADA and work accommodation requests, working closely with our third-party leave vendor and in accordance with company policy, and state and federal laws.
* Responsible for timely, accurate and clear communication with employees and managers at all stages of the leave process to ensure full understanding and compliance.
* Work with Manager, Benefits & Leave Administration, Field HR, and Legal as needed on leave denials, terminations or to resolve issues that arise on more complicated leaves.
* Manage the return-to-work process of all medical leave of absences by ensuring medical releases are received and the HRIS system is updated properly.
* Maintain the leave of absence and worker's compensation SmartSheets with updated and new and closed cases; adding notes to ensure the information is accurate and up to date.
* Create benefit invoices for employees who misses their benefit deductions and track payments.

Workers' Compensation

* Responsible for the intake and lifecycle of all workers' compensation claims; filing all insurance forms in a timely manner, providing workers' compensation adjusters with requested information including wage statements, state forms and medical documents, working the managers on return-to-work status and coordinating any other appropriate leaves.
* Maintain the OSHA Form 300 on a regular basis and the annual Form 300A according to federal law.

Benefit Administration

* Responsible for the ADP Benefit dashboard and employee communications and reminders in regard to enrollment and life event changes.
* Respond timely to questions from employees regarding their benefits; providing employees with the resources that are available and working with the vendors as needed to provide assistance and trouble shoot issues.
* Manage the payment processing of all monthly benefit plan invoices, including auditing each month for accuracy.
* Participate in the annual Open Enrollment process, including the selection of benefits, training, and communications.
* Conduct new hire benefit orientations and training programs, assisting in the development of the training materials.
* Establish and maintain strong, positive, working relationships with the benefit vendors.
* Responsible for tracking and processing missed benefit deductions and back charges in compliance with the payroll deadlines and polices in place.
* Process pet care and childcare reimbursements in a timely manner each pay period ensuring compliance with the current policies in place.

HRIS Transactional Administration and Compliance

* Responsible for the timely and accurate processing of employee benefit transactions and leave of absences in the system of record.
* Ensure high level of data integrity through regular benefit audits of data records.
* Ensure compliance of transactional activity, payroll schedules, and deadlines related to benefit deductions and leave of absence processing.
* Identify opportunities for improvement in existing operations and provide timely feedback and recommendations to the Manager, Benefits & Leave Administration.
* Exercise independent thought and judgment with supporting and ensuring that all Benefit documentation is updated and properly communicated and posted.

Reporting and Analytics

* Create and run reports needed to audit benefit plan enrollments and invoices; provide ad hoc reports and analysis as requested.
* Assist in the review, testing, and implementation of HR technology system upgrades.
* Support the identification of system and process related 'bugs' or 'flaws' through essential reporting and research upon which to recommend solutions to the Manager, Benefits & Leave Administration.

Qualifications

* Bachelor's degree in Human Resources, Business, or possesses equivalent experience
* 2-4 years' experience with Benefit and Leave administration
* HRIS system experience required, ADP Workforce Now experience preferred
* Exceptional attention to detail and accuracy
* Ability to handle sensitive and confidential information appropriately
* Ability to creatively solve problems and demonstrate initiative and innovation
* Strong analytical skills
* Extremely efficient and organized with an exceptional ability to establish priorities and objectives
* Excellent presentation and communication skills along with the ability to communicate effectively across all levels of the organization
