Secretary to the Director of Facilities

Provide administrative and secretarial support to the Director of Facilities. Act on maintenance requests, initiate routine purchases, monitor fuel consumption, maintain files and records, respond to telephone calls, and process mail. Must be proficient in Microsoft Office (Excel, Word, PowerPoint).

ESSENTIAL DUTIES & RESPONSIBILITIES:

* Locate supplies, services, vendors/contractors; type purchase orders, review resultant invoices and payments, verify central budget reports against office records; provide supervisor with status reports against office records; request fund transfers where needed.

* Compose documents (e.g. standardized correspondence, etc.)

* Maintain and monitor major equipment preventive maintenance, payroll (hours worked, overtime, and rate changes), time and attendance (availability of leave requested, questionable overtime), and worker's compensation (type accident reports and ensure insurance received is correct).

* Monitor each building's fuel consumption, and order fuel from the dealer when needed.

* Maintain documents, files, and records.

* Process documents and materials.

* Respond to inquiries from a variety of internal and external parties.

* Permitting and licensing for district functions.

* Support assigned administrative personnel.

QUALIFICATIONS:

To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements below represent the minimum educational achievement, training, skill, and/or abilities necessary.

* High school diploma or equivalent required.

* Proficient computer skills, including word processing, spreadsheet, and database applications.

* Proficient clerical skills, including organizational skills, with the ability to work independently with frequent interruptions and to meet deadlines.

* Ability to prepare and maintain accurate records and to plan and manage projects.

* Ability to demonstrate diplomacy when dealing with parents, teachers, staff, community members, and other external contacts and maintain confidentiality.

* Ability to work under pressure, handle multiple responsibilities with numerous distractions, and have the ability to react to change productively.

* Ability to be a self-starter with strong office management skills and complete tasks in a timely manner.

12 month, full time position.

Hours: 7:00 am to 3:00 pm not including a 1/2 hour unpaid lunch.

Salary: $24.24 after a successful 90-day probationary period.

Start Date: Approximately May 28, 2024
