Job Description
The Front Office Night Supervisor is responsible for ensuring the efficient and professional check-in and check-out of guests, providing exceptional service, and overseeing nightly front office operations. This role requires a thorough understanding of front desk procedures, guest services, and interdepartmental coordination to ensure seamless operations and exceptional guest experiences.
Responsibilities
* Perform check-in and check-out procedures accurately and efficiently.
* Address and resolve guest scenarios courteously and professionally, escalating issues to management when necessary.
* Oversee and support all front desk operations, including the completion of A.M. and P.M. Front Desk checklists, PBX Checklist, and Guest Service Duties.
* Train new associates in front desk procedures, guest services, and operational systems.
* Serve as the acting supervisor for the Front Desk/Guest Services team in the absence of the Assistant Manager.
* Utilize and maintain proficiency in technical systems, including:
* Opera, Vision, Synergy, Nucleolus, Epitome, and Vingcard systems.
* Medialla, Rate Discrepancy, NXTV, Tax Exempt processes, and .com/wholesale bookings.
* Manage and monitor reservation special packages and reports (e.g., Complimentary Rooms Report).
* Understand and communicate radio codes and hotel emergency procedures.
* Ensure familiarity with all hotel facilities and their inter-departmental relationships.
Qualifications
* Strong customer service skills with a focus on professionalism and courtesy.
* Proficiency in cash handling and reconciliation.
* Advanced computer and technical skills, including familiarity with office equipment (copiers, fax machines, radios, and Nextel).
* Strong training and leadership abilities.
Physical Requirements:
* Ability to stand for extended periods.
Work Environment:
* Primarily indoors, with occasional exposure to exterior conditions.
Tools/Equipment:
* Opera, Vision, Synergy, Nucleolus systems, and standard office equipment such as copiers and fax machines.
