Established in 1980, the Greater Lawrence Family Health Center, Inc. (GLFHC) is a multi-site, mission-driven, non-profit organization employing over 600 staff whose primary focus is providing the highest quality patient care to a culturally diverse population throughout the Merrimack Valley. Nationally recognized as a leader in community medicine (family practice, pediatrics, internal medicine, and geriatrics), GLFHC has clinical sites throughout the service area and is the sponsoring organization for the Lawrence Family Medicine Residency program. GLFHC is currently seeking a Scheduler.

The Scheduler is responsible for providing schedule support and analysis for the Senior Scheduler. In the position, the Scheduler performs a variety of tasks on a recurring basis, focusing primarily on the daily maintenance of the live schedule. They will work closely with all clinical sites and over a hundred clinicians to facilitate a continual dialogue regarding all information that impacts the schedule.

Scope of Duties:

* Presents self in a professional manner with regards to behavior, telephone courtesy, dress, and verbal and written communication. This person must conduct tasks in a manner that facilitates intra/inter-departmental business, and be able to maintain the utmost confidentiality.
* Assists the Senior Scheduler.
* Learns the clinician scheduling policies and process. When requested, assists in strategizing policies and process revisions.
* Triages contacts made to Scheduling Team, alerting Senior Scheduler to those items the Scheduler is unable to execute alone, or require the review/decision of the Senior Scheduler.
* Data Analysis as needed.
* Co-run new Clinician Orientation meeting, co-run new Intern Orientation meeting.
* Will cross train under the Senior Scheduler to serve as backup for Senior Scheduler.
* Will cross train under Senior Scheduler to serve as backup for Data Management Assistant's role for initial payroll preparation.
* Maintains statistical reporting of Precepting, PNG precepting, Rounders and Consults assigned to Holiday/Holiday weekends, Backup Acutes assigned to Holiday/Holiday weekends.
* Proofs pre-published clinical schedule for Senior Scheduler with clinic counts, clinician's working at non-base site, and Resident tags.
* Maintains the published clinical schedule.
* Works with Consult group on changes to published schedules, serving as liaison with clinical sites as necessary.
* Oversees, vets and implements approvable schedule changes of mid level complexity to the live clinical schedule from clinical sites and Residency.
* Continual proofing of schedule to ensure changes have been accurately documented to all affected parties.
* Maintains quarterly rounding grid.
* Maintains quarterly acutes backup grid.
* Maintains monthly call/rounding schedules.
* Consults with Senior Scheduler on complex schedule change requests or master schedule change proposals.
* On a regular basis participate in ongoing quality improvement activities related to individual, team, and organizational performance improvement.
* Travel between sites may be required.
* Performs all and any additional duties as assigned

Requirements

Education:

* Bachelor's Degree with Healthcare/Business Administration or computer programming focus. The degree can be offset with years of work experience.

Experience:

* Minimum 3 years demonstrated experience in data management and analysis, preferably in a healthcare facility or IS role.

Excellent computer skills, complete proficiency with Microsoft Excel and Outlook.

Must be extremely well organized with finite attention to details.

Demonstrated history of working independently in a fast-paced environment, juggle conflicting priorities and cope well under pressure and with distractions.

Must be able to continually reprioritize projects as the day progresses.

Strong verbal and written communication required.

Strong interpersonal skills required.
