Summary
The Office Clerk will perform a variety of administrative and clerical tasks to support Accounting, Customer Service and Reception. This role involves data entry, maintaining files, and providing assistance to staff and customers as needed.
Essential Duties and Responsibilities
Accounting
* Performs data entry.
* Enters invoicing quantity into sales orders prior to posting.
* Verifies accuracy of sales orders prior to posting.
* E-mails/faxes daily invoices.
* Assists with sales order invoicing as needed.
* Assists with posting/printing invoices, invoice verification and domestic invoicing when needed.
* Compiles, sorts, and files documents, such as invoices and sales orders.
* Assists with other miscellaneous tasks related to accounting, sales, or other departments as needed.
Customer Service
* Proofread, approve and release sales orders to the shipping department.
* Checks on order status and tracking information when requested by the customer.
Reception
* Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
* Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
* Answers questions about organization and provides callers with address, directions and other information.
* Welcomes on-site visitors, determines nature of business, and notifies company personnel of visitor arrival.
* Monitors visitor access and issues passes when required.
* Receives, sorts and routes mail and publications.
* Performs routine correspondence and other clerical duties as needed.
Qualifications
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Good written and verbal communication skills. Ability to multitask, prioritize and work under pressure.
Work Environment
While performing the duties of this job, the employee is not exposed to environmental conditions. The noise level in the work environment is usually moderate.
