RESPONSIBILITIES:

Administration

* With a primary responsibility of supporting the President/COO, provide support to the executive team as directed to ensure all administrative activities are completed confidentially with speed and accuracy for the executive team and board of advisors.
* Uses discretion, judgement, and knowledge of the organization to facilitate the executive team's activities and maintain confidentiality.
* Enhance organization reputation by accepting ownership for accomplishing new and different requests; consistently exploring opportunities to add value by anticipating where support may be needed.
* Maintain and refine internal processes that support the executive team, coordinating internal and external resources to expedite workflow.
* Plan and orchestrate work to ensure the executive team's priorities are met, organizational goals are achieved, and best practices are upheld.

Office Environment

* Create an environment that encourages an upbeat, fun, productive work environment and promotes positive employee relations.
* Maintain and builds upon the professional image of the office to ensure effective and efficient work conditions for all.
* Lead the effort to successfully plan and complete ODL Culture Events.

Candidate Requirements

* 8 years' experience in administrative role reporting directly to senior management
* Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
* Strong time-management skills and the ability to organize and coordinate multiple projects at once
* Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
* Superb written and verbal communication skills
* Ability to keep company confidences
* Possess personal qualities of integrity, credibility, and commitment.

The Executive Assistant is the supportive force that empowers the executive team and board of advisors. Reporting to the President and Chief Operating Officer he/she will be instrumental in the overall success of the organization. Provides multi-faceted administrative support and assistance to ensure effective use of executive team's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people.

The Executive Assistant will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. Given the changing nature of the executive landscape, we rely on our Executive Assistant for flexibility and foresight, while maintaining complete confidence on all subject matters.

The Executive Assistant will be responsible for creating a welcoming and helpful environment that meets all internal and external customers' needs.
