Position Summary

This is a professional position in the College of Agricultural and Environmental Sciences (CAES) Business Services Department, working in collaboration with the Accountability and Reporting Manager and other CAES faculty and staff to support the University's tripartite mission. The role involves a variety of administrative tasks, including tracking and maintaining detailed records for CAES Capacity Projects, managing proposal and report reviews, coordinating project workflows and processes, and overseeing federal program compliance. The individual is responsible for building strong relationships with faculty and administration, maintaining accurate project documentation, creating comprehensive reports, and providing technical support for project-related tasks. This role also ensures efficient coordination with CAES departments and external partners, while actively contributing to continuous process improvement and offering guidance on federal project processes, deadlines, and requirements. The employee may also participate in and lead training events, offering help desk support and administrative assistance as needed.

Knowledge, Skills, Abilities and/or Competencies

* Project Management and Data Analysis: Experience in project management, data analysis, and creating comprehensive reports. Skilled in managing complex workflows and coordinating multiple stakeholders while ensuring compliance.
* Strong Relationship-Building and Communication: Proficient in building and sustaining strong relationships with faculty and stakeholders. Skilled in writing and compiling clear and accurate project reports, and effectively communicating with diverse audiences.
* Problem-Solving and Process Improvement: Strong problem-solving skills with a proactive approach to identifying and resolving project-related issues, implementing solutions, and finding opportunities for process improvement.
* Technical Proficiency and Training: Competent in the use of Microsoft Suite, especially Excel, with the ability to create and provide training and help desk documentation.

* Office and desk work.
* Effective communication to exchange information, make presentations, and communicate over the telephone and via video conferencing.
* Work in an office environment with frequent interruptions and irregularities in the work schedule.
* Driving as needed to perform job-related duties.

Project Administration

* Keep detailed and accurate records of all CAES Capacity Projects, including Hatch, Multistate, Smith-Lever, and Animal Health. Track project details, status, and milestones to ensure

compliance with regulations.
* In collaboration with the CAES leadership, faculty, and the Office of Marketing and Communications, facilitate the collection and review of CAES faculty Impact Statements.
* Build and sustain strong relationships with CAES faculty to ensure understanding of project significance, process familiarity, and commitment to timely project initiations and result reporting.
* In coordination with the Associate Dean of Research, department heads, and faculty, manage proposal and report reviews, ensure timely approvals, and maintain clear communication channels to support project success.
* Work with the Accountability and Reporting Manager to design and implement project processes and workflows to ensure efficiency and consistency across projects. Conduct regular reviews to identify opportunities for process improvement and implement best practices.

Reporting

* Assume responsibility for ensuring project details and results are accurately entered into their respective reporting systems, adhering to project guidelines, and meeting established deadlines.
* In collaboration with CAES leadership, faculty, and the Office of Marketing & Communications, assist with CAES faculty Impact Statement national database submissions.
* Be the primary creator and compiler of annual reports, including the NIFA Annual Report of Accomplishments and Plan of Work.
* Work closely with Fort Valley State University to coordinate the creation and submission of all joint reports.

Percentage of time 20 Duties/Responsibilities

Training and Support

* Serve as the subject matter expert on federal project processes, deadlines, and requirements, providing help desk support, training, and help documents to users.
* Attend webinars related to federal reporting, updating CAES staff, faculty, and internal documentation with updates as needed.
* Offer technical and administrative support to project teams and stakeholders. Assist with data collection, project documentation, and other administrative tasks to ensure project goals are met
* Under the guidance of the CAES Accountability and ReportingManager, assist programmatically with various accountabilityand reporting projects.
* Other duties assigned by the Accountability and Reporting Manager within the role's purpose and scope.
